How to Run a Busy Booking Front Desk
Why front desks lose track on busy days
On a busy day a salon, studio or rental desk juggles arrivals, phone calls, walk-ins and payments at once. Bookings that were never marked completed or no-show pile up, groups are booked one by one and end up split across times, and staff check a printout that was out of date by ten o'clock.
Small gaps become real costs. A visit never closed is never invoiced. A no-show is not recorded, so the same guest does it again. A freed slot stays empty because nobody remembered who asked to be called.
A front desk that works from clear queues, books groups together, gives staff their own live list, and sends reminders and offers automatically keeps the day under control.
Why this happens
- Finished visits are never closed.
- Groups are booked one person at a time.
- Staff work from a printed schedule.
- No-shows are not recorded.
- Freed slots are not offered to anyone.
Biznsbook addresses this through front desk queues, group bookings, staff app on a phone, reminders, waitlist and reviews on the booking record, so the code, the balance and every refund are checked by the system.
Small gaps in bookings rarely fail loudly. They show up later as numbers nobody can explain. Recording each step where it happens removes the guesswork.
Step-by-step: Run a Busy Booking Front Desk
Written for front desks and owners of salons, studios, rental and activity businesses using Biznsbook Booking.
- Work the queues. Bookings → Bookings has Upcoming, Check-ins due, Needs approval, Needs closing and Archived, each with a count. Needs closing lists visits whose time is over but were never completed, cancelled or marked no-show, with Completed and No-show buttons.
- Book a couple or a party. On the Front desk, fill in the first person, then Add another person with their own service and staff or room. If anyone cannot be booked, nobody is booked and the message names who is the problem.
- Move bookings through stages. Open a booking: Next step shows only the moves still possible (confirm, check in, start, complete). Cancel and no-show ask for a reason, and Activity shows who did each step.
- Give staff the phone app. Staff open Bookings → Today on a phone for one-tap Check in, Start and Complete, a Take payment box and the guest's phone number. Install it to the home screen; the last Today page stays readable if the signal drops.
- Let reminders go out. Guests get an email confirmation with a calendar file and reminders 24 hours and 2 hours before. Optional SMS needs Twilio connected; WhatsApp is used when configured.
- Fill freed seats. Guests join the waitlist when an offering is full and its policy allows it. When a seat frees, the next person is offered it until the hold expires.
- Ask for reviews. Turn on Ask guests for a review after a completed visit. Bookings → Reviews shows the average, the average per person and every comment.
Review results after the first full monthly cycle. Adjust roles, mappings, or approvals where the same exception repeats.

Common mistakes to avoid
- Mistake 1: Finished visits are never closed. Repeating this each month usually shows up first in visits left open, uninvoiced or never closed.
- Mistake 2: Groups are booked one person at a time. Repeating this each month usually shows up first in visits left open, uninvoiced or never closed.
- Mistake 3: Staff work from a printed schedule. Repeating this each month usually shows up first in visits left open, uninvoiced or never closed.
- Mistake 4: No-shows are not recorded. Repeating this each month usually shows up first in visits left open, uninvoiced or never closed.
- Mistake 5: Freed slots are not offered to anyone. Repeating this each month usually shows up first in visits left open, uninvoiced or never closed.
Each of these turns into a question the front desk cannot answer quickly. Fix the process on the record rather than in email threads or spreadsheets.

Suggested implementation timeline
- Week 1: Set up front desk queues and the permissions the people involved need.
- Week 2: Run the real process in Biznsbook only, with no side spreadsheet, for one team or site.
- Week 3: Review what was recorded with the people involved and tighten the rules where they disagreed.
- Month 2: Roll out to every team or site.
- Ongoing: Closing the day at the front desk.
Searching, exporting and staying in step with staff calendars
The queue search box finds guests by name, code, phone, email and service, and a filter bar narrows by status, service, staff or room and date range. Export CSV downloads the same filtered list, up to 5,000 rows, with code, times, guest, service, staff, status, price, paid and balance. The Calendar has an Everyone or one-person selector for a single staff member or room.
Confirmed bookings can be written to each staff member's own Google or Outlook calendar as busy events that move or disappear with the booking, so a therapist's phone calendar matches the desk. A staff email can also go to the assigned person when their resource is linked to an employee.
Smart suggestions add a no-show risk chip on upcoming bookings, with the reasons such as earlier no-shows, a first visit or an unpaid deposit, and a list of quiet stretches in the next seven days. They are prompts for the desk; nothing is sent automatically.
Metrics to track monthly
- Gift card value still outstanding
- Deposits held on completed bookings
- Damage amounts kept and their reasons
- Wrong gift card codes tried online
Start with three metrics; trend direction matters more than a single point-in-time snapshot.

Closing the day at the front desk
At the end of each day, clear the Needs closing queue so every visit is completed or marked no-show, check Needs approval for requests waiting since the morning, and glance at tomorrow's Check-ins due. Once a week, read new reviews and the no-show rate in Reports.
Write the gift card and deposit rules into your front-desk procedures.
Frequently asked questions
What happens if one person in a group cannot be booked?
Nobody is booked, the message names who is the problem, and no emails are sent until the whole group is booked.
Can a service need two staff and a room?
Yes. A single service that needs two therapists and a room, set under the offering's needs, reserves all of them in one booking.
Does the staff app need a separate download?
No. It is the Today page in the browser, which can be installed to the home screen and opens full screen.
Are SMS reminders included?
Optional SMS needs Twilio connected in the Integration Hub and SMS turned on in Settings; guests who opted out are skipped.
Can I hide an unfair review?
Yes. Hide removes it from the averages on Bookings → Reviews.
Why can't I delete a booking?
It has an invoice or posted money. Archive it instead; Archive hides it from the calendar and front desk and frees an active slot.
How this differs by industry
Retail
Salons and spas book couples treatments together and close every visit at the end of the day from the Needs closing queue.
Wholesale & distribution
Equipment rental desks use the waitlist for popular items and see check-ins due at a glance each morning.
Manufacturing
Training centres book group sessions for a team in one go and send reminders so fewer trainees miss their slot.
