How to Add Google Meet to a Booking
Meet links pasted by hand get lost before the visit
Staff create a Meet in a personal calendar and paste the URL into a chat. The booking detail has no link, so reminders go out without a join URL.
Two people create two Meet rooms for the same booking. The guest joins the wrong one.
Turning Meet into a hard requirement blocks confirmations when Google auth expires, so the desk cannot lock the time.
Why this happens
- Google Calendar is not assigned or connected in Integration Hub.
- The offering still has Video meeting set to None.
- Staff expect Meet on hold or request states before confirm.
- An expired Google token is ignored until someone opens Integration Hub.
Biznsbook addresses this through Google Meet, Google Calendar OAuth, meeting link on confirm when Booking Management is licensed — locations, resources, offerings, and hours sit on the same company as parties, sales, and the public booking page.
Finance teams lose days each month reconciling versions that should never have diverged. Naming Biznsbook screens as the system of record — and closing periods when agreed — prevents silent edits that auditors flag immediately.
Step-by-step: Add Google Meet to a Booking
Built for front desks and owners taking appointments, rentals, classes, and stays in Biznsbook Booking Management.
- Assign and connect Google Calendar. SiteAdmin assigns the Google Calendar connector. A company admin connects the Google account on the Integration Hub settings page.
- Open the offering. In Bookings → Settings → Offerings, edit the online service.
- Set Google Meet on confirm. Choose Video meeting → Google Meet on confirm and save.
- Confirm a booking. When status becomes confirmed (or create confirms immediately), Biznsbook creates the Calendar event with Meet and stores the link.
- Share the link. The meeting link sits on the booking detail and can go out with your normal confirmation email or SMS templates when those channels are on.
- If Meet fails. Read the booking timeline for MeetSkipped or MeetFailed. Fix Google connection, then confirm or recreate as your process requires. The booking time remains booked.
Review results after the first full weekly cycle. Adjust roles, mappings, or approvals where the same exception repeats.
Screen names in this guide match Bookings in the product: Calendar, Bookings, Front desk, Waitlist, Reports, and Settings.
Common mistakes to avoid
- Mistake 1: Google Calendar is not assigned or connected in Integration Hub. Repeating this each month usually shows up first in today's booking list or the no-show rate.
- Mistake 2: The offering still has Video meeting set to None. Repeating this each month usually shows up first in today's booking list or the no-show rate.
- Mistake 3: Staff expect Meet on hold or request states before confirm. Repeating this each month usually shows up first in today's booking list or the no-show rate.
- Mistake 4: An expired Google token is ignored until someone opens Integration Hub. Repeating this each month usually shows up first in today's booking list or the no-show rate.
Track recurring exceptions in month-end notes; each should map to a control above.
Best practices that hold up as you scale
- Assign and connect Google Calendar — SiteAdmin assigns the Google Calendar connector.
- Open the offering — In Bookings → Settings → Offerings, edit the online service.
- Set Google Meet on confirm — Choose Video meeting → Google Meet on confirm and save.
- Confirm a booking — When status becomes confirmed (or create confirms immediately), Biznsbook creates the Calendar event with Meet and stores the link.
- Share the link — The meeting link sits on the booking detail and can go out with your normal confirmation email or SMS templates when those channels are on.
Teams that set weekly hours before sharing links, take card deposits into their Stripe account, and keep personal calendars synced as busy blocks avoid double-books and missing Meet links.
How Biznsbook supports this workflow
Google Meet is documented in Biznsbook Booking Management capabilities. Use it as part of a controlled finance process — posting, review, and period close — not as an isolated export. When Sales, Purchase, Inventory, Taxation, Expense, or Finance Management modules are enabled, related documents can post through the central accounting posting service with double-entry validation.

Booking permissions cover view, manage, setup, policy override, refund, reports, and sensitive intake answers. Sales, POS, and Accounting are used only when those modules are licensed.
Suggested implementation timeline
- Week 1: Document current process gaps and configure Google Meet with finance owner sign-off.
- Weeks 2–3: Pilot on one month or one entity; post all test transactions through Biznsbook; freeze parallel spreadsheet journals.
- Week 4: Run first trial balance or report tie-out; fix mapping and permission issues.
- Month 2–3: Roll out to full team; add approvals and period close cadence from this guide.
- Ongoing: Monthly review using meet versus calendar busy sync and leadership dashboard.
Connector and scopes
Google Calendar OAuth is platform-configured with ClientId and ClientSecret. The company connects once in Integration Hub. Reconnect if scopes change, for example after freeBusy is added for busy sync.
Meet creation uses the Calendar API conference data path and stores MeetingLink plus the Google event id on the booking for later reference.
Only offerings that need a remote join should use Google Meet on confirm. In-person colour or rental bays should stay on None so confirm does not call Google for every walk-in.
Notifications
Confirmation email and optional SMS can include booking details your templates already use. Put the manage URL in SMS placeholders when you want guests to open the booking and see the Meet link on the manage page.
Fail-open behaviour keeps the chair held even when Google returns an error, which matters more than blocking the whole confirm for a video link.
If MeetSkipped appears often, fix the connector before you ask guests to trust the next confirmation. A booking without a join URL is still a booked slot; treat the timeline note as an ops task, not as proof that the time is free again.
Meet and busy sync together
Turning on Meet does not by itself hide personal busy time. Enable Sync busy on the staff resource if Google meetings should remove open slots on the public page.
You can run Meet on confirm for online offerings while Outlook busy sync protects the same person’s in-person chair later the same day.
Writing every Biznsbook booking back into Google as a full calendar event is not in this release. Meet stores the conference link on the booking; busy sync only reads freeBusy or Outlook views into availability.
Staff who confirm from the calendar or front desk get the same Meet behaviour as a public confirm. The offering setting is what matters, not which screen pressed Confirm.
Guests who open the manage link after confirm should see the join URL when Meet succeeded. If the timeline shows MeetFailed, reconnect Google before you resend the confirmation. Do not paste a second Meet from a personal calendar into chat; that is how guests join the wrong room.
Metrics to track monthly
- Today's booking count
- Utilisation (booked time over open time)
- Stay occupancy
- Revenue booked versus revenue collected
- No-show rate and deposits held
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Spreadsheet / manual books vs integrated ERP
Compare typical manual finance work with Biznsbook Google Meet and related capabilities.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| Where the link lives | ❌ A chat message | ✅ The booking record |
| When it is created | ❌ Whenever someone remembers | ✅ On confirm for Meet offerings |
| Auth | ❌ Personal Google login in another tab | ✅ Company Google Calendar connector |
| Failure mode | ❌ Booking blocked | ✅ Booking succeeds; Meet is skipped with an audit |
| Zoom | ❌ Mixed product | ✅ Not in this release; Meet is first |
| Guest join | ❌ Forwarded email thread | ✅ Link on booking and notifications |
Meet versus calendar busy sync
Meet writes a join link onto the booking at confirm. Busy sync reads Google or Outlook busy windows into availability. You can use either or both. Writing the booking back as a full calendar event for every visit is not in this release.
Document this in your finance SOP and revisit each quarter as transaction volume or entity structure changes.
Frequently asked questions
Does every offering get a Meet link?
No. Only offerings with Video meeting set to Google Meet on confirm. In-person offerings stay on None.
What if Google is disconnected?
The booking still confirms. The timeline records that Meet was skipped or failed so staff can fix the connector.
Is Zoom available?
Not in this release. Google Meet is the first video provider.
Does Meet sync busy time by itself?
Meet creation is separate from busy/free sync. Turn on calendar busy sync on the staff resource if you want Google busy blocks to hide slots.
How this differs by industry

A consultancy can sell online advice slots with Meet on confirm while keeping colour appointments as in-person offerings.
Wholesale & distribution
A sales engineer can attach Meet to remote demos without putting a join link on warehouse bay bookings.
Manufacturing
A support engineer can confirm remote diagnostics with Meet while shop-floor bays stay Meet off.
