How to Reconcile Company Card Statements with Expenses

Quick answer Match the card statement to claims instead of chasing receipts after the fact. In Biznsbook Expense, add each company card, import its statement CSV, and match every line to a claim or create a draft claim from it. Claims charged to the card credit the card account, the statement payment moves the liability to the bank, and bank matching clears it.

Why company card spend is hard to close each month

Company cards are convenient: staff pay suppliers, travel and subscriptions directly and the business pays one statement. At month end, though, finance has a list of card lines and a pile of claims that rarely line up.

Some card lines have no claim because the receipt is still in someone's pocket. Some claims are entered twice, once as a reimbursement and once on the card. The card payment is posted as a lump sum with no link to what it paid for, so the card liability never quite reaches zero.

A clean process starts from the statement. Each line is matched to the claim that explains it, or a draft claim is created so the employee can add the details, and the statement payment is recorded against the card so the liability and the bank both agree.

Why this happens

  • Card lines have no matching claim.
  • The same spend is claimed as a reimbursement and on the card.
  • The card payment is posted as an unexplained lump sum.
  • Receipts arrive weeks after the statement.
  • Bank and card balances are reconciled separately by hand.

Biznsbook addresses this through company cards with statement import, matching statement lines to claims, draft claims from statement lines, bank matching of card payments in Expense Management, posting card spend to the card account and clearing payments in bank reconciliation.

Small gaps in expenses rarely fail loudly. They show up later as numbers nobody can explain. Recording each step where it happens removes the guesswork.

Step-by-step: Reconcile Company Card Statements with Expenses

Written for finance teams and office managers handling company card spend in Biznsbook Expense Management.

  1. Turn company cards on. Enable Corporate Cards in Expense Settings. Managing cards needs Manage Expense Reimbursements.
  2. Add each card. Go to Payouts → Cards and add the card with its last four digits and holder.
  3. Import the statement. Import the card statement CSV for the period.
  4. Match or create claims. Match each statement line to the expense claim it belongs to, or choose Create draft claim to start a claim from the line.
  5. Let the posting follow. A credit-card claim naming a company card credits that card's account; each line's cost goes to its category account, with recoverable tax to input tax.
  6. Record the statement payment. Record the payment of the statement, which moves the card liability to the bank.
  7. Match to the bank. With Finance Management, Payouts → Bank matching suggests matches of money-out lines to card payments; confirming marks them cleared in bank reconciliation without posting anything new.

Review results after the first full monthly cycle. Adjust roles, mappings, or approvals where the same exception repeats.

Common mistakes to avoid

  • Mistake 1: Card lines have no matching claim. Repeating this each month usually shows up first in card balances that never reach zero.
  • Mistake 2: The same spend is claimed as a reimbursement and on the card. Repeating this each month usually shows up first in card balances that never reach zero.
  • Mistake 3: The card payment is posted as an unexplained lump sum. Repeating this each month usually shows up first in card balances that never reach zero.
  • Mistake 4: Receipts arrive weeks after the statement. Repeating this each month usually shows up first in card balances that never reach zero.
  • Mistake 5: Bank and card balances are reconciled separately by hand. Repeating this each month usually shows up first in card balances that never reach zero.

Each of these turns into a question finance cannot answer quickly. Fix the process on the record rather than in email threads or spreadsheets.

Best practices that hold up as you scale

  • Turn company cards on — Enable Corporate Cards in Expense Settings.
  • Add each card — Go to Payouts → Cards and add the card with its last four digits and holder.
  • Import the statement — Import the card statement CSV for the period.
  • Match or create claims — Match each statement line to the expense claim it belongs to, or choose Create draft claim to start a claim from the line.
  • Let the posting follow — A credit-card claim naming a company card credits that card's account; each line's cost goes to its category account, with recoverable tax to input tax.

Import every statement as soon as it arrives and keep the number of unmatched lines at zero before month end.

Suggested implementation timeline

  1. Week 1: Set up company cards with statement import and the permissions the people involved need.
  2. Week 2: Run the real process in Biznsbook only, with no side spreadsheet, for one team or site.
  3. Week 3: Review what was recorded with the people involved and tighten the rules where they disagreed.
  4. Month 2: Roll out to every team or site.
  5. Ongoing: Closing card spend each month.

How card claims sit with the rest of Expense

Company card spend is one of several ways an expense is paid. A claim paid by cash, bank, cheque or online is paid by its own posting. A reimbursable claim records what is owed to the employee and is paid later in a reimbursement batch or, if it is not batched and the employee is linked, in the next payroll run as a non-taxable reimbursement. A card claim instead credits the card account and is settled when the statement is paid.

Keeping these apart is what stops double payment: a card line matched to a claim means the employee is not reimbursed for it, and a reimbursable claim never appears on a card statement.

With Auto-Post on Approval on, a claim posts on final approval and counts against its budget at the same time, so card spend shows in budgets as soon as it is approved rather than when the statement arrives.

Cancelling a posted claim reverses it first. If Accounting refuses, for example because the period is closed, the claim stays as it is and you see why, so a card line matched to a claim is never left pointing at a reversed posting without warning. A claim that already has payments cannot be cancelled.

Metrics to track monthly

  • Unmatched statement lines
  • Draft claims still missing details
  • Card account balance against the statement
  • Card payments not yet cleared in the bank

Start with three metrics; trend direction matters more than a single point-in-time snapshot.

Manual workarounds vs Biznsbook

Compare common manual workarounds with Biznsbook company cards with statement import and the related capabilities.

CapabilityManual / SpreadsheetBiznsbook
Starting point❌ Pile of receipts✅ Imported card statement
Missing claims❌ Found at month end✅ Draft claim from the statement line
Double claims❌ Card and reimbursement both paid✅ Each line matched to one claim
Card payment❌ Lump sum journal✅ Statement payment against the card account
Bank reconciliation❌ Separate manual tick-off✅ Card payments matched and cleared
Who can do it❌ Whoever has the spreadsheet✅ Manage Expense Reimbursements permission

Closing card spend each month

At month end, import every card statement, aim for zero unmatched lines, and chase the draft claims still missing details. Record the statement payments, run bank matching, and check that each card account balance equals the statement balance. Any difference usually means a line was matched to the wrong claim or a payment was recorded twice.

Write the card policy (what can be bought, receipt deadline) into your expense policy.

Frequently asked questions

Does Biznsbook connect to the card provider directly?

No. You import the statement as a CSV and match its lines to claims.

What if a statement line has no claim yet?

Choose Create draft claim to start a claim from the line, then complete its details.

Where does a company card claim post?

A credit-card claim naming a company card credits that card's account. The line cost goes to its category account and recoverable tax to the input tax account.

How is the card itself paid?

Record the statement payment, which moves the card liability to the bank or cash account you pay from.

Does bank matching post anything?

No. Confirming a match marks the items cleared in bank reconciliation; nothing new is posted. Bank matching needs Finance Management.

Who can manage company cards?

Users with Manage Expense Reimbursements, once Enable Corporate Cards is on in Settings.

How this differs by industry

Retail

Retailers with store managers on company cards import each statement monthly and match supplies and repairs to claims before the books close.

Wholesale & distribution

Distributors whose drivers pay fuel on company cards create draft claims from statement lines so drivers only add the receipt and vehicle.

Manufacturing

Plants that buy urgent parts on a company card see each purchase on a claim with its category, not as an unexplained card payment.
