Field Service Software vs Spreadsheets: When to Switch

Quick answer Stay on a spreadsheet while one person books a handful of visits and writes the invoice the same day. Switch when two people dispatch, parts leave a van, a job must have one invoice, or customers request visits online. Biznsbook Field Service keeps the customer as a party, the van as a warehouse, and the bill as one sale invoice.

A spreadsheet is a fair way to list jobs while one person schedules, buys the parts, and writes the invoice. It gets unreliable when two people move the same visit, parts leave a van, and the customer has already paid a deposit.

Where a spreadsheet works

A sheet with a date, a name, an address, and a price is enough when the owner does the visit and writes the invoice the same afternoon.

It starts immediately and everyone in a two-person firm can read it. If nobody else moves the rows, a spreadsheet can be the whole system.

The trouble starts when a second dispatcher edits the same hour, or when a part leaves a van and the warehouse count is still the old number.

Where spreadsheets break down

Two people can book the same technician because the sheet does not know about leave, a travel buffer, or a skill the category requires.

Parts typed as used do not reduce stock and do not post cost of goods. The invoice later reduces them again, or never reduces them.

A deposit in a column is easy to miss, so the invoice asks for the full amount. A second invoice is just another row.

What field service in Biznsbook adds

Customers stay parties. Sites hold the extra addresses and an optional pin. The day board refuses an overlap, approved leave, hours outside the window, and missing skills unless a dispatcher forces the booking.

The van is a warehouse. Issue moves stock and posts cost of goods when the cost is above zero. The one sale invoice does not do that again for lines already issued. A deposit taken first is an advance applied up to the invoice total.

The public page stores a request until the office converts it, unless you turn approval off. Email sends through the company’s outbound email and SMS through the company’s own Twilio connection; an opted-out contact is skipped. There is no route optimisation and no native app.

What you should not expect

Biznsbook does not reorder the day into an optimised route, queue changes while the phone is offline, or read SMS replies. Stripe Terminal card readers, tips, mileage, and WhatsApp delivery are not in this module.

Technicians do not quote, invoice, or collect on site unless those settings are on. Labour cost on the job does not post a wage journal.

Geocoding runs only when the provider is Nominatim. The default is a pin you type yourself.

Moving off the spreadsheet

Load customers as parties if they are not there yet. Add a site per place you visit. Create a van warehouse and transfer the stock that is actually in the van.

Open the jobs you still owe, schedule them on the board, and take any deposit already paid as an advance tagged to that job so the invoice can apply it.

Give dispatchers the dispatcher role and technicians the technician role. Turn on checklist, photo, or signature only for the proof you really collect.

Pricing honesty

Biznsbook publishes Starter at $19, Pro at $39 and Business at $89 a month, with add-on modules from about $5. Field Service is a $10 a month add-on. Check /pricing.html before you decide. This page does not quote other vendors.

Who should choose each

Choose Biznsbook if…

  • You send more than one technician and need overlap, leave, hours, and skills checked.
  • Parts leave a van and should move stock and cost of goods when they are used.
  • Each job should have one sale invoice, with a deposit applied to it.
  • You already keep customers, stock, and the ledger in Biznsbook.

Choose Spreadsheets if…

  • One person books a handful of visits and writes the invoice the same day.
  • You do not stock parts in a van and you do not need a second person on the schedule.
  • You are comparing a dedicated field-service product’s route planning or offline app. Those are not in Biznsbook Field Service. Confirm that product’s current price on the vendor’s site.

Biznsbook capabilities referenced in this comparison

  • Jobs and sites on the parties you already keep
  • A day board that refuses overlap, leave, hours, and missing skills unless a dispatcher forces it
  • A van warehouse with issue, return, and cost of goods when the cost is above zero
  • One sale invoice per job, with issued lines skipped on stock and cost of goods
  • A deposit as a customer advance applied on that invoice
  • A public request page that waits for approval
  • Technician time entries, checklist, photo, and signature when you turn those rules on
  • No route optimisation, native app, offline queue, or two-way SMS

Frequently asked questions

Does Biznsbook replace a route-planning product?

No. The board checks the window you chose. It does not optimise a route. If route order is the reason you are buying, a spreadsheet is also not that product, and Biznsbook does not add it.

How much is Field Service?

Field Service is a $10 a month add-on on Biznsbook plans. Starter is $19, Pro is $39, and Business is $89 a month, with other add-ons from about $5. See /pricing.html. This page does not list competitor prices.

Will my van stock and my invoice both reduce the part?

Issue reduces it once, with cost of goods when the cost is above zero. The sale invoice skips stock and cost of goods for lines already issued. Revenue and tax still post.

Can customers book a confirmed visit online?

They pick an arrival window at /service/{your-slug}. With approval off the visit is booked with a free technician; with approval on the office confirms it first.
