How to Invoice a Field Job
The same job is billed twice
A deposit invoice and a final invoice both take the parts, so the customer is billed twice and stock drops twice.
Labour has no item, so the invoice cannot be posted and the job sits completed with no bill.
The office waits for a Sales licence even though the field module can create the sale invoice itself.
Why this happens
- A second Create invoice is expected to add the leftover lines on a new bill.
- Issued parts are left to the sale invoice, which would move stock again.
- The labour line has no item and settings have no default labour item.
- The deposit is a note, not an advance tagged to the job.
Biznsbook addresses this through One sale invoice, issued lines skip stock, deposit applied when Field Service is licensed. Customers are parties you already keep. The van is a warehouse. The invoice is one sale invoice for the job.
A second dispatcher, a van, and a deposit are where a private list drifts. Making Biznsbook the place that books the visit, issues the part, and raises the one invoice keeps those three on the same job.
Step-by-step: Invoice a Field Job
Built for owners and dispatchers who send technicians to a customer site in Biznsbook Field Service.
- Finish the lines you intend to bill. Actual lines that are billable and customer-selected are the ones that go on the invoice. If the job has no actual lines, estimate lines are billed instead. You can pass a subset of those lines. The screen is one Create invoice action.
- Put an item on labour and fees. Every labour or fee line needs an item, or you set the labour item and the call-out item in settings. Without an item the invoice cannot be created.
- Create the invoice once. The result is a sale invoice. Creating it does not require the Sales module to be licensed. Field Service calls the shared sale-invoice posting service. A second invoice for the same job is refused. One job has one sale invoice.
- Leave issued lines alone. Lines already issued from the van do not move stock or post cost of goods again. Revenue and tax still post. Lines that were not issued follow the normal sale invoice stock rules.
- Apply the deposit. A deposit taken before the invoice is an advance tagged to the job. The invoice applies the remaining advance up to the invoice total. The advance is not a second invoice.
- Read the job status. The job becomes invoiced after the sale invoice is created. It becomes paid when that invoice is settled. Invoiced and paid do not move backwards.
- Send the invoice message. The invoice message is email only. Email is sent when outbound email is configured. A missing address is logged as failed. SMS is not used for the invoice message.
Review results after the first full weekly cycle. Adjust roles, mappings, or approvals where the same exception repeats.
Screen names in this guide match Field Service in the product: Home, Jobs, Dispatch, My day, Quotes, Agreements, and Settings.
Common mistakes to avoid
- Mistake 1: A second Create invoice is expected to add the leftover lines on a new bill. Repeating this each month usually shows up first in double-booked visits, van counts, or a second invoice.
- Mistake 2: Issued parts are left to the sale invoice, which would move stock again. Repeating this each month usually shows up first in double-booked visits, van counts, or a second invoice.
- Mistake 3: The labour line has no item and settings have no default labour item. Repeating this each month usually shows up first in double-booked visits, van counts, or a second invoice.
- Mistake 4: The deposit is a note, not an advance tagged to the job. Repeating this each month usually shows up first in double-booked visits, van counts, or a second invoice.
Note each recurring gap in the weekly review. Each one should map to a step in this guide.
Best practices that hold up as you scale
- Finish the lines you intend to bill — Actual lines that are billable and customer-selected are the ones that go on the invoice.
- Put an item on labour and fees — Every labour or fee line needs an item, or you set the labour item and the call-out item in settings.
- Create the invoice once — The result is a sale invoice.
- Leave issued lines alone — Lines already issued from the van do not move stock or post cost of goods again.
- Apply the deposit — A deposit taken before the invoice is an advance tagged to the job.
Teams that schedule on the board, issue parts from the van before they invoice, and refuse a second invoice keep the visit and the ledger on the same job.
How Biznsbook supports this workflow
One sale invoice is part of Biznsbook Field Service for companies that send a person to a customer site. The customer is a party you already keep, the address you visit is a site, and the visit sits on a job. Parts move through a van warehouse. The bill is one sale invoice, and a deposit taken first is an advance on that same job. Technicians quote, invoice, or collect only when settings allow it.

Technicians do not quote, invoice, or collect unless those settings are on. Labour cost is for job costing and does not post a wage journal. Email sends through the company’s outbound email and SMS through the company’s own Twilio connection.
Suggested implementation timeline
- Week 1: License Field Service, add sites on the parties you already keep, and try One sale invoice on one real job.
- Week 2: Create a van warehouse, transfer the stock that is in the van, and issue one part on a visit.
- Week 3: Schedule on the board, including one forced conflict, and complete a visit with the checklist rules you actually want.
- Week 4: Create the one sale invoice, apply a deposit if you took one, and turn the public page on if customers should request visits.
- Ongoing: Weekly review of unscheduled jobs, overdue complete-by times, and van items under minimum, using what staged billing means here.
Stock already issued
The sale invoice receives a flag per line for stock that Field Service already issued. Those lines skip stock validation, the stock movement, and cost of goods. They still post revenue and tax. If every line was issued, the invoice does not run the stock update again.
A line that was not issued is a normal sale line. Mixed jobs are allowed. The job stores the sale invoice id so a second create can be refused even if two people click together.
Metrics to track monthly
- Jobs still unscheduled past the attention window
- Jobs past their complete-by time
- Van items below the minimum you set
- Visits forced past a conflict
- Jobs completed and not yet invoiced
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Spreadsheet or paper day sheet vs Biznsbook Field Service
Compare a typical list of jobs with Biznsbook One sale invoice and the rest of the field job.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| How many bills | ❌ A deposit bill and a final bill | ✅ One sale invoice per job |
| Issued parts | ❌ Stock reduced on the invoice | ✅ Stock and cost of goods already posted on issue |
| Unissued parts | ❌ Forgotten | ✅ Normal sale invoice stock rules |
| Labour line | ❌ A description with no item | ✅ An item, or the labour item in settings |
| Sales licence | ❌ Required to type an invoice | ✅ Not required for this create-invoice path |
| Second click | ❌ Another invoice | ✅ Refused |
What staged billing means here
Staged billing is choosing which lines go on the single invoice. It is not a second sale invoice for the same job. If you need another bill, that is a different job.
Write this into the way the office hands work to technicians, and revisit it when you add a van or a second dispatcher.
Frequently asked questions
Can I invoice only some lines?
Yes. You can pass a subset of the billable lines. They still go on the one sale invoice. A second invoice is refused.
What if there are no actual lines?
The invoice bills the estimate lines that are billable and customer-selected.
Do technicians see Create invoice?
Only when the setting that allows technicians to create invoices is on. Otherwise it is an office action.
Does the invoice post wages?
No. Labour cost on the job is for job costing. It does not post a wage journal. Revenue and tax on the invoice still post.
How this differs by industry
Retail
An appliance shop that also repairs machines in the home can keep the customer as a party, the kitchen as a site, and the van as the warehouse the part comes out of.
Wholesale & distribution
A parts distributor that sends a technician with the delivery can issue the part from the van and still raise one sale invoice for that job.
Manufacturing
A plant that calls an outside technician can be the bill-to party while the site is the building the work was done in.
