How to Run a Restaurant Tip Pool Without Payroll
Why tips are awkward when there is no payroll system
Tips still have to be shared when a restaurant has no payroll software. The manager adds up tips from the week's orders, guesses hours from memory and pays from an envelope. Staff cannot see how the split was worked out.
Without a record, there is no way to show how a share was calculated, and rounding leaves a few cents unaccounted for.
A tip pool starts from the tips actually recorded on paid orders, uses clocked hours, applies one visible rule and gives you a file to pay from.
Why this happens
- Tips are totalled by hand from receipts.
- Hours are estimated rather than clocked.
- The split rule changes from week to week.
- Rounding leaves cents unaccounted for.
- Shares are paid without a record of how they were worked out.
Biznsbook addresses this through tip pools by period and location, shares by hours worked or equal shares, CSV export of the shares in the Restaurant module, which runs on its own in Lite mode.
Small gaps in the restaurant rarely fail loudly. They show up later as numbers nobody can explain. Recording each step where it happens removes the guesswork.
Step-by-step: Run a Restaurant Tip Pool Without Payroll
Written for owners and managers running a cafe or restaurant on Biznsbook Restaurant in Lite mode, with no Inventory, POS or Accounting.
- Record tips on orders. When you take payment on an order, enter the tip. Tips recorded on paid orders are what the pool starts from.
- Create the pool. Open Analytics & Reports → Tip Pools and choose New tip pool. Pick the period and optionally one location, then Show hours. Hours come from completed clock-ins in Labour Scheduling.
- Check tips collected. Tips collected starts at what was recorded for the period, shown under the box. Change it if needed.
- Choose the split. Choose By hours worked or Equal shares, then Work out shares. Shares are rounded to cents and add up exactly to the total.
- Export the shares. Without Payroll, open the pool and choose Export CSV, then pay the team from the file.
- Send to payroll when you have it. With Payroll licensed you can still send the shares to payroll as one-off earnings. Staff who exist only in Labour Scheduling are paid from the CSV.
Review results after the first full weekly cycle. Adjust roles, mappings, or approvals where the same exception repeats.

Common mistakes to avoid
- Mistake 1: Tips are totalled by hand from receipts. Repeating this each month usually shows up first in orders, tips and food cost that nobody can trace.
- Mistake 2: Hours are estimated rather than clocked. Repeating this each month usually shows up first in orders, tips and food cost that nobody can trace.
- Mistake 3: The split rule changes from week to week. Repeating this each month usually shows up first in orders, tips and food cost that nobody can trace.
- Mistake 4: Rounding leaves cents unaccounted for. Repeating this each month usually shows up first in orders, tips and food cost that nobody can trace.
- Mistake 5: Shares are paid without a record of how they were worked out. Repeating this each month usually shows up first in orders, tips and food cost that nobody can trace.
Each of these turns into a question the manager cannot answer quickly. Fix the process on the record rather than in email threads or spreadsheets.
Best practices that hold up as you scale
- Record tips on orders — When you take payment on an order, enter the tip.
- Create the pool — Open Analytics & Reports → Tip Pools and choose New tip pool.
- Check tips collected — Tips collected starts at what was recorded for the period, shown under the box.
- Choose the split — Choose By hours worked or Equal shares, then Work out shares.
- Export the shares — Without Payroll, open the pool and choose Export CSV, then pay the team from the file.
Keep the menu short and priced, record every order and its tip, and review the paid orders for the day before you close.
How Biznsbook supports this workflow
tip pools by period and location is part of Biznsbook and works on the same records as the rest of the restaurant, so the decision, the stock and the books stay in step and every action is recorded with who did it and when.

Restaurant runs alone in Lite mode. Menu items and orders are managed by restaurant staff; tip pools need Manage restaurant settings to create and View restaurant reports to view. Inventory and POS are needed only for Full mode.
Suggested implementation timeline
- Week 1: Set up tip pools by period and location and the permissions the people involved need.
- Week 2: Run the real process in Biznsbook only, with no side spreadsheet, for one team or site.
- Week 3: Review what was recorded with the people involved and tighten the rules where they disagreed.
- Month 2: Roll out to every team or site.
- Ongoing: Reviewing tip pools each pay period.
Getting the inputs right before you split
A tip pool is only as good as the two numbers behind it: the tips recorded and the hours worked. Tips come from the payments you record on orders, so make sure the tip is entered when the payment is taken, including cash tips that staff report at the end of the night. A payment recorded without its tip leaves the pool short.
Hours come from completed clock-ins in Labour Scheduling. Before you work out shares, use Show hours and look for anyone with a missing clock-out or an unusually short shift. A missing clock-out means missing hours, and that person receives a smaller share than they earned. Correct the attendance record first, then load the hours again.
Choose the period and, if you have more than one location, the location, so each team shares its own tips. When the figure under the Tips collected box looks different from what you expect, compare it with the paid orders for the period; you can change the figure before working out shares if you need to.
After Work out shares, check that the shares add up to the total. They are rounded to cents and add up exactly, so the numbers you pay out match the pool. Then open the pool and choose Export CSV. The file is your record of how each share was calculated, and it is what you use to pay the team when there is no Payroll.
Paying from the CSV
The export lists each person and their share, rounded to cents and adding up exactly to the pool total. Keep the file with your weekly records so you can show how each payment was worked out. Staff who exist only in Labour Scheduling, with no payroll record, are always paid from the CSV, even when Payroll is licensed.
Metrics to track monthly
- Paid orders and average check
- Food cost % from plate costs
- Tips recorded per day
- Orders open at close
- Tip pools exported per pay period
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Manual workarounds vs Biznsbook
Compare common manual workarounds with Biznsbook tip pools by period and location and the related capabilities.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| Tips total | ❌ Added up by hand | ✅ Starts from the tips recorded on paid orders |
| Hours | ❌ Estimated | ✅ Completed clock-ins in Labour Scheduling |
| Split rule | ❌ Changes weekly | ✅ By hours worked or equal shares |
| Rounding | ❌ Cents left over | ✅ Shares add up exactly to the total |
| Payment | ❌ Envelope with no record | ✅ Export CSV, or send to payroll when Payroll is licensed |
| Needs Payroll | ❌ Not applicable | ✅ No |
Reviewing tip pools each pay period
Each period, compare tips collected on the pool with the paid orders, check for staff with missing clock-outs before working out shares, and keep the exported file with your records.
Write down who may void an order and who closes the day so the records stay trustworthy.
Frequently asked questions
Do I need Payroll to use a tip pool?
No. Without Payroll, open the pool and Export CSV to pay the team. With Payroll you can still send the shares to payroll as one-off earnings.
Where do the hours come from?
From completed clock-ins in Labour Scheduling attendance. Choose Show hours on the pool to load them.
Can I change the tips total?
Yes. Tips collected starts at what was recorded for the period, and you can change it before working out shares.
Does the pool pay staff or post to the books?
No. The pool works out the shares. In Lite mode nothing is posted to any ledger, and you pay the team from the CSV.
Who can create a tip pool?
Creating pools needs Manage restaurant settings; viewing them needs View restaurant reports.
