How to Use Supplier Scorecards
Buyers pick suppliers without a shared performance signal
GRN variance lives in one report, return rates in another, and late receipts only show up when a buyer digs into purchase orders.
Without a single score, replenishment and PO creation default to habit or lowest quote — not reliability.
Month-end reviews cannot show whether a preferred supplier is improving or drifting below threshold.
Why this happens
- Performance data is scattered across GRN, RTV, and PO screens.
- No trend line for supplier quality over the last year.
- At-risk vendors are not surfaced on the inventory health dashboard.
- PO forms do not show a score when the buyer selects a supplier.
Biznsbook addresses this through supplier scorecard ranking, on-time and RTV metrics, at-risk supplier filter when the Inventory module is licensed — GRN, purchase order, and return-to-vendor history feed monthly snapshots without a second data entry path.
Finance teams lose days each month reconciling versions that should never have diverged. Naming Biznsbook screens as the system of record — and closing periods when agreed — prevents silent edits that auditors flag immediately.
Step-by-step: Use Supplier Scorecards
Built for buyers and inventory leads who need one supplier performance score before converting requisitions to purchase orders in Biznsbook.
- Confirm source documents. Post GRNs linked to POs with expected delivery dates, and record return-to-vendor notes when goods are sent back — the scorecard only reads existing data.
- Open the ranking. Go to /inventory/supplier-scorecard to see suppliers ordered by OverallScore for the latest snapshot month.
- Filter at-risk vendors. Use the At risk filter (or Health Dashboard “Suppliers below threshold”) for scores under your company floor (default 60).
- Review a supplier detail. Open a supplier to see on-time %, variance, RTV, volatility, lead time, and the 12-month trend chart.
- Recalculate after corrections. If GRN or RTV history was fixed, use Recalculate for that month (Inventory.Manage) instead of waiting for the monthly job.
- Use scores on POs and requisitions. On PO create/edit, the score badge appears after you select a supplier; if the score is below your company floor, an amber soft warning shows under the supplier field and again on Submit (it does not block the PO). Replenishment lead-time and requisition screens show the same latest score.
- Export for reviews. Download Excel with ranking and trend sheets for supplier business reviews.
Review results after the first full monthly cycle. Adjust roles, mappings, or approvals where the same exception repeats.

Common mistakes to avoid
- Mistake 1: Performance data is scattered across GRN, RTV, and PO screens. Repeating this each month usually shows up first in purchase reliability and replenishment decisions.
- Mistake 2: No trend line for supplier quality over the last year. Repeating this each month usually shows up first in purchase reliability and replenishment decisions.
- Mistake 3: At-risk vendors are not surfaced on the inventory health dashboard. Repeating this each month usually shows up first in purchase reliability and replenishment decisions.
- Mistake 4: PO forms do not show a score when the buyer selects a supplier. Repeating this each month usually shows up first in purchase reliability and replenishment decisions.
Track recurring exceptions in month-end notes; each should map to a control above.
Best practices that hold up as you scale
- Confirm source documents — Post GRNs linked to POs with expected delivery dates, and record return-to-vendor notes when goods are sent back — the scorecard only reads existing data.
- Open the ranking — Go to /inventory/supplier-scorecard to see suppliers ordered by OverallScore for the latest snapshot month.
- Filter at-risk vendors — Use the At risk filter (or Health Dashboard “Suppliers below threshold”) for scores under your company floor (default 60).
- Review a supplier detail — Open a supplier to see on-time %, variance, RTV, volatility, lead time, and the 12-month trend chart.
- Recalculate after corrections — If GRN or RTV history was fixed, use Recalculate for that month (Inventory.
Teams that keep expected delivery dates on POs and post true return-to-vendor notes get trustworthy on-time and RTV components every month.
How Biznsbook supports this workflow
supplier scorecard ranking is documented in Biznsbook Inventory & Purchase capabilities. Use it as part of a controlled finance process — posting, review, and period close — not as an isolated export. When Sales, Purchase, Inventory, Taxation, Expense, or Finance Management modules are enabled, related documents can post through the central accounting posting service with double-entry validation.

Scorecard ranking, settings, and exports are permission-separated so buyers view scores while inventory managers own weights and recalculation.
Suggested implementation timeline
- Week 1: Document current process gaps and configure supplier scorecard ranking with finance owner sign-off.
- Weeks 2–3: Pilot on one month or one entity; post all test transactions through Biznsbook; freeze parallel spreadsheet journals.
- Week 4: Run first trial balance or report tie-out; fix mapping and permission issues.
- Month 2–3: Roll out to full team; add approvals and period close cadence from this guide.
- Ongoing: Monthly review using buyer checklist and leadership dashboard.
What the composite score actually measures
On-time delivery uses goods receipt dates against purchase order expected delivery when GRNs are linked to POs. Variance reuses GRN variance lines already posted at receipt — buyers do not maintain a second spreadsheet. Return-to-vendor rate divides RTV quantity by received quantity for the same supplier and month. Price volatility averages the coefficient of variation of unit costs across items with at least two receipt prices.
When no linked PO has an expected delivery date in the period, on-time is marked excluded and its weight is redistributed across variance, RTV, and price stability so the overall score is not silently zeroed.
Operating rhythm for buyers and planners
Review the ranking after the monthly Hangfire snapshot (1st of the month for the prior month) or after a manual recalculate when GRN history was corrected. Prefer higher-scoring suppliers on PO create — the badge and soft-warn appear next to the supplier dropdown when the score is below your floor — and on replenishment lead-time comparisons when multiple vendors supply the same SKU.
Escalate at-risk suppliers from the Health Dashboard KPI into a short supplier review: open the detail chart, confirm whether late receipts or RTVs drive the drop, then adjust sourcing or coaching before the next buying cycle. Pair the score with landed-cost and three-way match checks — a high score does not excuse unmatched invoices or unallocated freight.
When converting multi-supplier requisitions, show scores beside lead time and unit price so planners can trade a slightly higher price for a materially better on-time record. Export Excel for quarterly business reviews so purchasing and finance debate the same OverallScore instead of conflicting extracts.
Limits of the scorecard
The scorecard is not a supplier onboarding or qualification workflow and does not replace three-way match or landed-cost control. It aggregates existing commercial documents so purchasing and inventory teams share one performance signal.
Sparse variance lines (when GRNs never generated variance rows) understate variance risk — teams should still monitor the GRN variance report for receipt quality.
Metrics to track monthly
- Suppliers with a scorecard snapshot for the prior month
- At-risk suppliers below the configured floor
- POs created after reviewing the supplier score badge
- Months recalculated after weight changes
- Scorecard Excel exports attached to supplier reviews
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Spreadsheet / manual books vs integrated ERP
Compare typical manual finance work with Biznsbook supplier scorecard ranking and related capabilities.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| Performance view | ❌ Separate GRN / RTV reports | ✅ One ranked scorecard |
| Trend | ❌ Manual month export | ✅ 12-month chart per supplier |
| PO decision | ❌ Memory or price only | ✅ Score badge on supplier select |
| At-risk list | ❌ Ad hoc spreadsheet | ✅ Filter + Health Dashboard KPI |
| Weights | ❌ Fixed intuition | ✅ Company-configurable weights |
| Audit export | ❌ Copy-paste | ✅ Excel ranking + trends |
Buyer checklist
Keep expected delivery dates on POs, link GRNs to those POs, post RTVs for true returns, then review the scorecard monthly and escalate suppliers stuck below the floor. Export the Excel ranking before quarterly supplier reviews so finance and purchasing debate the same OverallScore, not conflicting extracts from RTV and GRN reports.
Document this in your finance SOP and revisit each quarter as transaction volume or entity structure changes.
Frequently asked questions
Does the scorecard replace supplier onboarding?
No. It is an internal performance view for buyers. Qualification and vendor portals are out of scope.
Why is on-time shown as N/A?
When no GRNs in the period link to a PO with an expected delivery date, on-time is excluded and its weight is redistributed across the other components.
When do scores update?
A Hangfire job runs on the 1st of each month for the previous month. You can also recalculate a chosen month from the ranking screen.
Where do variance numbers come from?
The scorecard reuses existing GRN variance lines posted with receipts — it does not invent a second variance engine.
Can I seed scores without GRNs?
Demo tenants may show display snapshots from DemoDataSeeder. Production scores should come from Recalculate or the monthly job after real PO, GRN, and RTV history exists.
How this differs by industry
Retail
Multi-store retailers use scorecards to prefer reliable wholesalers for replenishment of high-turn SKUs.
Wholesale & distribution
Distributors rank importers on on-time receipt and price stability before converting requisitions to POs.
Manufacturing
Plants monitor raw-material suppliers so late GRNs and high RTV rates surface before production planning.
