Service Billing Software vs Spreadsheets: When to Switch
A spreadsheet is a reasonable way to start billing clients and logging payments. It stops working when several people collect money, staff must not see what clients are charged, and the owner needs outstanding per job instead of a total someone typed on Friday.
At a glance
Side-by-side summary on six criteria teams usually evaluate first. Pricing and packaging change over time — verify current plans on each vendor site before you buy.
| Criterion | Biznsbook | Spreadsheets |
|---|---|---|
| Best when | Several collectors, many clients, fees paid in parts | One person, a handful of clients |
| What staff see | Record a payment and their own entries only | The whole sheet, fees and balances included |
| Outstanding | Computed per job and per client | A formula or a typed total |
| Mistakes | A correction reverses and replaces, with a reason | Overwrite the cell |
| Recurring and part payments | Monthly retainers and installment plans | Copied rows and manual splits |
| Owner view | Billed, collected, outstanding by age, mode and staff | Pivot tables rebuilt each month |
Where a spreadsheet works
A sheet with a client, a job, a fee and a paid column is enough when the owner does the work and collects the money personally.
It costs nothing, everyone can read it, and you can start today. If one person is the only one who ever touches the numbers, a spreadsheet may be all you need.
The trouble starts when the sheet gets a second editor, or when the person collecting should not see what the client was charged.
Where spreadsheets break down
Sharing a sheet with collectors shares every fee, every balance and every other client with them. Hiding columns does not stop someone from unhiding them.
Anyone can overwrite yesterday’s payment, so the amount that reached the firm and the amount on the sheet drift apart, with no trail from the original entry to the change.
Part payments, advances and the same UTR typed twice turn the outstanding column into a guess. Retainers depend on someone remembering to add the month.
What purpose-built service billing adds
Biznsbook Collections gives collectors one screen: search the client with no balances, pick the service reference, enter the amount, the mode and the UTR, and submit. The confirmation is the payment reference only.
The owner keeps the fee on the job, sees outstanding computed per job and per client, splits payments across jobs, and corrects by reversing the original and writing a new entry with a reason.
Monthly retainers add a billed job each month, installment plans split a fee into equal parts, and the dashboard shows billed, collected and outstanding by age, by payment mode and by the person who entered each payment.
Moving off the spreadsheet
Clients are the parties you already keep in Biznsbook, so there is no second client list. Load them through the existing Parties import if they are not there yet.
Add your service types, open a job per engagement with its fee, and mark old unpaid work as an opening balance so it stays in outstanding without inflating this period. Money the client had already paid can be recorded as an opening credit.
Give each collector the Collections Collector role and nothing else, and let the dashboard getting-started checklist confirm the basics are done.
Pricing honesty
Biznsbook publishes Starter $19, Pro $39 and Business $89 plans, with add-on modules from about $5 per month. Check /pricing.html for the current price of Service Billing & Collections before you decide.
A spreadsheet has no licence fee, but the time spent reconciling it, and the risk of staff seeing every client’s fee, are real costs.
This page does not invent competitor list prices.
Fit summary
Stay on a spreadsheet while one trusted person bills and collects for a small client list.
Move to Biznsbook Collections when collectors must not see the numbers, payments come in parts, or the owner needs outstanding per job and a correction trail.

Frequently asked questions
Is a spreadsheet enough for service billing?
For one person billing a handful of clients, often yes. Once several staff collect payments, fees are paid in parts, or collectors must not see what clients are charged, purpose-built software saves time and protects the numbers.
Can staff record payments without seeing the fee in Biznsbook?
Yes. The Collections Collector role sees Record a payment and My entries only. Fees, outstanding, other people’s entries, the dashboard and statements stay off their screens.
How are mistakes fixed if payments cannot be edited?
The collector requests a correction with a reason. The owner approves, which reverses the original and writes the corrected entry. The original is never overwritten.
