A person sent to collect cash or a transfer often sees the full fee, the outstanding, and every other receipt in the same notebook. The conversation then becomes a discount discussion instead of a record of what was received.
A UTR typed into a chat is easy to reuse. Without a warning that names neither the client nor the amount, the same transfer can be written twice and the owner cannot tell which entry is real.
When the collector can edit yesterday’s line, the amount that reached the firm and the amount on the page drift apart. The owner then has no trail from the original entry to the replacement.

Step-by-step: Record a Client Payment Without Showing the Fee
Built for owners and collectors who record service jobs and client payments in Biznsbook Collections.
- Turn Collections on and assign the collector role. License Service Billing & Collections. Give that person the Collections Collector role and nothing else that can open ledgers, parties, or receipt vouchers. After login they land on Record a payment. The menu is only Record a payment and My entries.
- Search the client. Search by name or phone. The list has no balances. Phone numbers are shown in search by default. The owner can hide the phone in Settings.
- Pick the service reference. Choose one of that client’s open service references, or Not sure / general payment when the collector does not know which job the money is for.
- Enter the date, mode, and amount. Modes are cash, UPI, bank transfer, cheque, card, or other. For anything other than cash, enter the UTR or reference. You can attach a photo. Settings can require that reference on non-cash payments.
- Submit and read the confirmation. The screen confirms Payment recorded — Ref P-00031. That confirmation does not show the fee or the outstanding. A payment larger than what is still owed is still accepted. The extra becomes an advance the owner can see. The collector confirmation does not change.
- Check My entries. My entries lists what this person recorded today or this week: the reference, date, service label, mode, the amount they typed, and the UTR. They do not see other people’s entries.
- Request a correction if the row is wrong. Request correction needs a reason. The collector cannot edit or delete the payment. Approval is an owner step, covered in the correction guide.
Review results after the first full weekly cycle. Adjust roles, mappings, or approvals where the same exception repeats.

Ledger posting is off until Collections settings turn it on, and only when Accounting or Finance is licensed. Outstanding is the fee plus any tax, minus the payments on the job. Collectors do not see fees, outstanding, other people’s entries, the dashboard, statements, the correction queue, or a journal.

What the collector is allowed to type
The client is an existing party. Collections does not keep a second client list. Search is by name or phone, and the results do not include balances. The phone is shown by default unless the owner turns that off in Settings.
The payment can sit on one open service reference, or it can be a general payment when the collector picks Not sure / general payment. The date, the mode, and the amount received are required. Cash does not need a UTR. UPI, bank transfer, cheque, card, and other modes do when Settings requires a reference, which is the default for non-cash payments. A photo is optional.
If the same reference was already used, the only warning is: This reference has already been used — please check. The collector still does not learn which client or which amount used it first. My entries then shows only this person’s rows for today or this week.
Overpayment and the confirmation line
A payment larger than what is still owed is accepted. The extra is an advance for the owner. The collector’s confirmation stays Payment recorded — Ref P-00031 and does not mention the extra or the balance.
The original row is not edited. A mistake is a correction request with a reason. Until the owner approves, the payment that was recorded remains the payment. Collectors never see the approval queue.

What stays off the collector screen
Fees, outstanding, other people’s entries, the dashboard, statements, and the correction queue. Saving a payment does not show a journal to the collector. The owner can turn on quiet ledger posting in Settings. Until then, the dashboard and the statement are the billed, collected, and outstanding.
Document this in your finance SOP and revisit each quarter as transaction volume or entity structure changes.

Does the confirmation show what the client still owes?
No. The screen confirms Payment recorded — Ref P-00031. Fees and outstanding stay off the collector screen, including when the amount is larger than what is still owed.
What does the duplicate reference warning say?
This reference has already been used — please check. It does not say which client or how much. The owner payment list shows the other payment, the client, and the amount.
Can the collector change a payment after it is saved?
No. They can request a correction with a reason. They cannot edit or delete the payment.
