How to Manage a Multi-Company ERP Group
Groups outgrow one shared ERP or a pile of disconnected tenants
A parent company runs three factories — each needs its own inventory, manufacturing, warehouse, accounting, and tax records, but leadership still asks how the whole group is doing without logging into three systems.
Shared-database ERPs blur permissions: cosmetics staff see pharmaceutical batch fields, or one plant posts into another plant ledger by mistake.
Separate ERP instances per factory mean duplicate user accounts, no cross-company audit trail, and no way to grant a CFO view-only access to two plants while a plant GM stays in one company only.
Why this happens
- Companies provisioned with Register New Company instead of the Company Group wizard — no switcher or consolidated dashboard.
- Group Owner has only one UserCompanyAccess grant — switcher and dashboard require two or more active grants.
- Expectation of merged financial statements — consolidated dashboard is operational read-only, not combined GL.
- Industry Profile not set per factory — pharma, nutra, and cosmetics item fields and shortcuts never appear.
Biznsbook addresses this through Company Group, Company Switcher, Consolidated Group Dashboard, UserCompanyAccess grants when the relevant modules are licensed — per-factory FBR submission and group-level switcher plus consolidated dashboard without merged ledgers.
Finance teams lose days each month reconciling versions that should never have diverged. Naming Biznsbook screens as the system of record — and closing periods when agreed — prevents silent edits that auditors flag immediately.
Step-by-step: Manage a Multi-Company ERP Group
Built for Pakistan manufacturers and multi-factory groups running Biznsbook Taxation with FBR Digital Invoicing and Company Group for isolated entities under one ownership group.
- Create the Company Group. SiteAdmin uses Company Groups (multi-factory) wizard — not Register New Company. Add each factory with name, Industry Profile, country, and module licenses. Optionally grant Group Owner access in the same step.
- Keep books isolated. Each factory is its own CompanyID — separate chart of accounts, parties, items, and tax settings. Inter-factory movement is recorded as normal sale + purchase between companies when needed, not automatic internal GL.
- Grant cross-company access. Group Owner receives UserCompanyAccess into every factory — roles can differ (CompanyAdmin in one, Group Viewer in another). Factory users without grants see only their home company.
- Log in as Group Owner. With two or more grants, login lands on Consolidated Group Dashboard. Use Company Switcher to work inside a factory — all actions apply to that company only; a Switched badge reminds you.
- Review consolidated dashboard. Read-only cards show item counts, stock, open work orders, pending QC, trial balance per company, and FBR summary — figures are never summed across companies.
- Manage access self-service. Group Owners with CompanyAdmin on multiple factories use Manage cross-company access and Group User Directory to grant, revoke, activate, or create CompanyAdmins without SiteAdmin for factories they already manage.
- Use Movement Timeline. Filter cross-company activity — sales, purchases, access grants — and export CSV for group-level audit.
Review results after the first full weekly during FBR go-live cycle. Adjust roles, mappings, or approvals where the same exception repeats.

Common mistakes to avoid
- Mistake 1: Companies provisioned with Register New Company instead of the Company Group wizard — no switcher or consolidated dashboard. Repeating this each month usually shows up first in FBR rejections or cross-company posting errors.
- Mistake 2: Group Owner has only one UserCompanyAccess grant — switcher and dashboard require two or more active grants. Repeating this each month usually shows up first in FBR rejections or cross-company posting errors.
- Mistake 3: Expectation of merged financial statements — consolidated dashboard is operational read-only, not combined GL. Repeating this each month usually shows up first in FBR rejections or cross-company posting errors.
- Mistake 4: Industry Profile not set per factory — pharma, nutra, and cosmetics item fields and shortcuts never appear. Repeating this each month usually shows up first in FBR rejections or cross-company posting errors.
Track recurring exceptions in month-end notes; each should map to a control above.
Best practices that hold up as you scale
- Create the Company Group — SiteAdmin uses Company Groups (multi-factory) wizard — not Register New Company.
- Keep books isolated — Each factory is its own CompanyID — separate chart of accounts, parties, items, and tax settings.
- Grant cross-company access — Group Owner receives UserCompanyAccess into every factory — roles can differ (CompanyAdmin in one, Group Viewer in another).
- Log in as Group Owner — With two or more grants, login lands on Consolidated Group Dashboard.
- Review consolidated dashboard — Read-only cards show item counts, stock, open work orders, pending QC, trial balance per company, and FBR summary — figures are never summed across companies.
Teams that certify FBR in Sandbox per factory and document group-level vs single-factory users before cutover avoid rejections and permission surprises.
How Biznsbook supports this workflow
Company Group is documented in Biznsbook Taxation / Company Group capabilities. Use it as part of a controlled finance process — posting, review, and period close — not as an isolated export. When Sales, Purchase, Inventory, Taxation, Expense, or Finance Management modules are enabled, related documents can post through the central accounting posting service with double-entry validation.
Company Switcher is documented in Biznsbook Taxation / Company Group capabilities. Use it as part of a controlled finance process — posting, review, and period close — not as an isolated export. When Sales, Purchase, Inventory, Taxation, Expense, or Finance Management modules are enabled, related documents can post through the central accounting posting service with double-entry validation.

FBR Digital Invoicing is ERPModule.FbrDigitalInvoicing per company. Company Group is a platform feature provisioned via SiteAdmin — not a separate ERP module license.
Suggested implementation timeline
- Week 1: Document current process gaps and configure Company Group with finance owner sign-off.
- Weeks 2–3: Pilot on one month or one entity; post all test transactions through Biznsbook; freeze parallel spreadsheet journals.
- Week 4: Run first trial balance or report tie-out; fix mapping and permission issues.
- Month 2–3: Roll out to full team; add approvals and period close cadence from this guide.
- Ongoing: Monthly review using together vs separately and leadership dashboard.
True isolation vs group oversight
Company Group is not a consolidated accounting module. Each factory posts to its own ledger, inventory, and tax configuration. The Consolidated Group Dashboard aggregates operational KPIs — stock, work orders, QC, trial balance badge, FBR counts — without summing balances into one number.
That design fits holding companies with separate legal entities, distinct NTNs, and different product lines. Leadership sees the whole group; plant teams never cross into another company data unless granted.
Roles: factory user vs Group Owner
Factory CompanyAdmin and CompanyUser see only their company unless granted elsewhere. Group Owner switches via Company Switcher and operates with the role assigned for that factory — CompanyAdmin, Group Viewer, or Group Finance Controller per grant.
Group Viewer is read-only across granted companies — suitable for board or audit reviewers. Group Owners can self-service grants on factories they already manage; SiteAdmin remains required for first-time group creation and revoking another Group Owner.
Industry Profile per branch
SiteAdmin sets Industry Profile when creating or linking a factory — Pharmaceutical, Nutraceuticals, Cosmetics, or General. That drives sidebar Industry Shortcuts, item edit accordions, and industry dashboard pages for that company only.
A pharmaceutical plant sees Batch and Quality Control Center; a cosmetics plant sees Formulation and Shelf-Life Center. Switch companies to compare — shortcuts always match the company you are currently operating in.
Managing branches together or separately
Separately: switch into one factory and run GRN, work orders, sale invoices, and period close exactly as a single-company tenant would. Permissions and modules apply to that CompanyID only.
Together: stay on Consolidated Group Dashboard or group reporting pages (Inventory, Manufacturing, FBR Status, Movement Timeline) for read-only comparison. Use Manage cross-company access to onboard executives who need all plants without giving plant staff cross-company visibility.
Adding a factory mid-life uses Add factory (new company) or Link existing company (already in Biznsbook). Existing group members with cross-company access receive grants to the new factory automatically.
Metrics to track monthly
- FBR Accepted rate per factory branch
- Approvals queue cleared within 24 hours (Manual mode)
- Rejected invoice fix-and-retry cycle time
- Group Owner cross-company grants documented per person
- Consolidated dashboard reviewed before weekly ops meeting
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Spreadsheet / manual books vs integrated ERP
Compare typical manual finance work with Biznsbook Company Group and related capabilities.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| Data isolation | ❌ One shared database | ✅ Separate tenant per factory |
| Leadership login | ❌ Multiple passwords | ✅ One login + Company Switcher |
| Group view | ❌ Manual exports | ✅ Consolidated read-only dashboard |
| Books | ❌ Merged or confused GL | ✅ Never merged — per-company trial balance only |
| Branch operations | ❌ All users see all data | ✅ Operate separately; oversee together |
| Industry fit | ❌ Generic item master | ✅ Industry Profile per factory (Pharma/Nutra/Cosmetics) |
Together vs separately
Use the switcher when you need to post, approve, or configure inside one branch. Use the consolidated dashboard and group reporting pages when you need read-only oversight across branches — never as a substitute for operating inside the correct company. Document which users are group-level vs single-factory before go-live — avoids over-granting plant staff into peer factories.
Document this in your finance SOP and revisit each quarter as transaction volume or entity structure changes.
Frequently asked questions
Are financial statements consolidated?
No. Consolidated Group Dashboard shows each company trial balance side by side — debits and credits are not added across factories. Each company closes its own books.
Can a plant manager see only one factory?
Yes. Create the user in their home company without cross-company grants, or grant access to a single factory only.
Can we add a fourth factory later?
Yes. SiteAdmin Add factory or Link existing company — existing group members with cross-company access auto-sync to the new factory.
Do item catalogs sync between factories?
No ongoing sync. Each factory maintains its own products, BOMs, and vendors. One-time copy at setup only if you choose.
Does the switcher auto-revert?
Yes — after about four hours in a switched company, Biznsbook returns you to your home company as a safety cap. Use Back to my home company anytime sooner.
Can factory admins revoke a Group Owner?
No. Only SiteAdmin can change Group Owner access or deactivate their account.
How this differs by industry
Retail
Retail groups with separate legal entities per region run independent POS and tax per company while headquarters monitors stock and trial balance from one login.
Wholesale & distribution
Wholesale groups with import and distribution arms switch between companies for PO and invoice work without separate credentials.
Manufacturing
Multi-factory manufacturers assign Pharmaceutical, Nutraceutical, or Cosmetics Industry Profile per plant — each gets its own QC or formulation dashboard shortcuts.
