How to Confirm Cash Handed Over by Collectors
Cash collected in the field goes unchecked
Collectors who take cash carry it until they get back to the office. If nobody checks what came in against what was recorded, a shortfall is found weeks later, when nobody remembers the day.
Ticking each cash payment one by one is slow, so it does not happen on busy days.
Without a name and a time on the confirmation, the owner cannot tell who accepted the cash.
Why this happens
- Cash is reconciled per payment instead of per collector per day.
- There is no list of cash still out.
- Confirmations have no name or time.
- Unconfirmed cash is not flagged after a few days.
Biznsbook addresses this through Cash hand-over, one row per collector per day, confirmed with name and time when Service Billing & Collections is licensed. Clients are the parties you already keep, and collectors record what they received without seeing the fee or the outstanding.
Services firms lose money in the gap between the work done and the payment recorded. Keeping the fee on the job, the payment against the job, and the collector away from the numbers closes that gap without turning the firm into an accounting office.
Step-by-step: Confirm Cash Handed Over by Collectors
Built for owners of services firms and the staff who collect client payments in Biznsbook Collections.
- Record cash as usual. Collectors record cash on Record a payment. Cash needs no reference.
- Open Cash hand-over. From Payments, open Cash hand-over. It lists cash that is not confirmed yet, one row per collector per day.
- Count the cash. Each row shows the day, the collector, the number of payments, and the cash total they typed. Count the cash before you confirm.
- Confirm the row. Confirm hand-over ticks every cash payment in that row as handed over, with your name and the time.
- Undo a single payment if needed. Open the payment from Payments and use the Undo cash handover pill.
- Watch the not reconciled count. Cash not confirmed after the days set in Settings counts as not reconciled on the dashboard.
- Check who confirmed. Payment detail shows who confirmed the cash and when.
Review results after the first full weekly cycle. Adjust roles, mappings, or approvals where the same exception repeats.
Screen names in this guide match Collections in the product: Record a payment, My entries, Dashboard, Jobs, Payments, Payment links, Corrections, Service types, Settings, and Guide. Every screen has a ? help button.
Common mistakes to avoid
- Mistake 1: Cash is reconciled per payment instead of per collector per day. Repeating this each month usually shows up first in billed, collected, or outstanding for the period.
- Mistake 2: There is no list of cash still out. Repeating this each month usually shows up first in billed, collected, or outstanding for the period.
- Mistake 3: Confirmations have no name or time. Repeating this each month usually shows up first in billed, collected, or outstanding for the period.
- Mistake 4: Unconfirmed cash is not flagged after a few days. Repeating this each month usually shows up first in billed, collected, or outstanding for the period.
Note each recurring gap in the weekly review; each should map to a step in this guide.
Best practices that hold up as you scale
- Record cash as usual — Collectors record cash on Record a payment.
- Open Cash hand-over — From Payments, open Cash hand-over.
- Count the cash — Each row shows the day, the collector, the number of payments, and the cash total they typed.
- Confirm the row — Confirm hand-over ticks every cash payment in that row as handed over, with your name and the time.
- Undo a single payment if needed — Open the payment from Payments and use the Undo cash handover pill.
Firms that keep the fee on the job, let Collections compute outstanding, and correct by reversal instead of editing a row keep their period totals and their trail intact.
How Biznsbook supports this workflow
Cash hand-over is part of Biznsbook Service Billing & Collections. Each client is a party you already keep, each job holds its fee, and each payment keeps who entered it, when, and how the client paid.

Ledger posting is off until Collections settings turn it on, and only when Accounting or Finance is licensed. Outstanding is the fee plus any tax, minus the payments on the job. Collectors do not see fees, outstanding, other people’s entries, the dashboard, statements, the correction queue, or a journal.
Suggested implementation timeline
- Week 1: Add your service types, check that clients exist as parties, and open jobs with fees.
- Week 2: Start Cash hand-over with one collector and a handful of clients.
- Week 3: Add the rest of the collectors and clear the dashboard attention items daily.
- Week 4: Review billed, collected, and outstanding by age with the client statements.
- Ongoing: Weekly review using per collector, per day and the dashboard.
Cash and bank, side by side
Non-cash payments are checked with the Seen in bank pill against the bank or UPI app. Cash is checked with Cash handed over. Both feed the same not reconciled count on the dashboard, so one number tells you what is still unchecked.
Opening credits are not part of the hand-over list, because they record money paid before you started using Collections.
Handling a shortfall
If the envelope is short, do not confirm the row. Ask the collector which payment is wrong. If an amount was typed wrong, the collector requests a correction with a reason, and the owner approves it. Approval reverses the original and writes the corrected payment, which then appears in the list.
Once the amounts match, confirm the row. The original wrong entry stays visible to the owner, marked Reversed.
A routine that takes minutes
At the end of each day, open Cash hand-over. Each collector who took cash appears once for the day with the number of payments and the total they typed. Count each envelope against its row and confirm the rows that match.
Anything left on the list the next morning is cash that has not been handed over. Because rows stay until they are confirmed, nothing drops off the list just because a day passed.
Once a week, open the dashboard. The not reconciled count includes cash that waited longer than the days you set in Settings, and its chip opens Payments filtered to those rows.
Who can confirm
Confirming cash needs the amounts permission plus the permission to allocate payments. The built-in Collections Manager role has both. The read-only Collections Accountant role can see the payments but cannot confirm hand-over, and collectors cannot open the screen at all.
Each confirmed payment shows who confirmed it and when on Payment detail, so the owner can see later which manager accepted which day’s cash.
What the collector sees
Collectors keep using Record a payment and My entries. My entries lists the cash they recorded today or this week with the amounts they typed, which is the list they hand over against.
They do not see the hand-over screen, other collectors’ cash, or the totals for the day across the team.
Metrics to track monthly
- Billed for the date range
- Collected for the date range
- Outstanding, and outstanding older than 90 days
- Collections by payment mode
- Payments not yet reconciled
Start with three metrics; trend direction matters more than a single point-in-time snapshot.

| Cash still out | ❌ Nobody knows | ✅ Listed until confirmed |
| Old unconfirmed cash | ❌ Found at year end | ✅ Counted as not reconciled after the days you set |
| Mistakes | ❌ Scribbled out | ✅ Undo on the single payment |
| Collector screens | ❌ See everything | ✅ See only their own entries |
Per collector, per day
Grouping cash by collector and day matches how cash actually moves: one person, one envelope, one evening. Confirming the group in one step makes the check fast enough to do every day, and the name and time on each payment make it auditable.
Write this into your weekly owner routine and revisit it when you add collectors or new services.
