How to Export Service Payments, Jobs, and Client Statements
Accountants and partners still want a spreadsheet
Even with a dashboard, an accountant at year end, a partner checking one client, or an auditor wants a file they can sort and total themselves.
Copying a screen into Excel loses rows beyond the first page and mangles amounts and dates.
A spreadsheet of client payments is sensitive; it should not be something any staff member can download.
Why this happens
- Lists are paged, so copying a screen misses rows.
- Filters set on screen are lost when data is copied.
- Exports are open to everyone.
- Cells that start like formulas are run by the spreadsheet.
Biznsbook addresses this through CSV export of payments, CSV export of jobs, client statement export when Service Billing & Collections is licensed. Clients are the parties you already keep, and collectors record what they received without seeing the fee or the outstanding.
Services firms lose money in the gap between the work done and the payment recorded. Keeping the fee on the job, the payment against the job, and the collector away from the numbers closes that gap without turning the firm into an accounting office.
Step-by-step: Export Service Payments, Jobs, and Client Statements
Built for owners of services firms and the staff who collect client payments in Biznsbook Collections.
- Filter the payments list. On Payments, set the date range, mode, employee, client, or reference you need.
- Export payments. Use Export. The CSV keeps the filters you set and includes every matching payment, not just one page.
- Export jobs. On Jobs, set filters such as status, service type, assignee, dates, or outstanding only, then use Export.
- Export one client statement. Open the client statement and use Export for that client’s jobs, payments, and outstanding.
- Open in Excel. The file opens in Excel. Amounts are plain numbers you can total, dates are year-month-day, and text that looks like a formula is kept as text.
- Send it to the right person. Exports are available to people who can see Collections amounts, such as the owner or the read-only Collections Accountant role.
- Keep collectors away from exports. Collectors cannot open exports. Their screens never show fees or outstanding.
Review results after the first full weekly cycle. Adjust roles, mappings, or approvals where the same exception repeats.
Screen names in this guide match Collections in the product: Record a payment, My entries, Dashboard, Jobs, Payments, Payment links, Corrections, Service types, Settings, and Guide. Every screen has a ? help button.
Common mistakes to avoid
- Mistake 1: Lists are paged, so copying a screen misses rows. Repeating this each month usually shows up first in billed, collected, or outstanding for the period.
- Mistake 2: Filters set on screen are lost when data is copied. Repeating this each month usually shows up first in billed, collected, or outstanding for the period.
- Mistake 3: Exports are open to everyone. Repeating this each month usually shows up first in billed, collected, or outstanding for the period.
- Mistake 4: Cells that start like formulas are run by the spreadsheet. Repeating this each month usually shows up first in billed, collected, or outstanding for the period.
Note each recurring gap in the weekly review; each should map to a step in this guide.
Best practices that hold up as you scale
- Filter the payments list — On Payments, set the date range, mode, employee, client, or reference you need.
- Export payments — Use Export.
- Export jobs — On Jobs, set filters such as status, service type, assignee, dates, or outstanding only, then use Export.
- Export one client statement — Open the client statement and use Export for that client’s jobs, payments, and outstanding.
- Open in Excel — The file opens in Excel.
Firms that keep the fee on the job, let Collections compute outstanding, and correct by reversal instead of editing a row keep their period totals and their trail intact.
How Biznsbook supports this workflow
CSV export of payments is part of Biznsbook Service Billing & Collections. Each client is a party you already keep, each job holds its fee, and each payment keeps who entered it, when, and how the client paid.

Ledger posting is off until Collections settings turn it on, and only when Accounting or Finance is licensed. Outstanding is the fee plus any tax, minus the payments on the job. Collectors do not see fees, outstanding, other people’s entries, the dashboard, statements, the correction queue, or a journal.
Suggested implementation timeline
- Week 1: Add your service types, check that clients exist as parties, and open jobs with fees.
- Week 2: Start CSV export of payments with one collector and a handful of clients.
- Week 3: Add the rest of the collectors and clear the dashboard attention items daily.
- Week 4: Review billed, collected, and outstanding by age with the client statements.
- Ongoing: Weekly review using the right file for the right person and the dashboard.
What each export contains
The payments export lists the payment number, date, client, mode, amount, reference, who entered it, status, the unallocated part, and the reconciliation ticks. Reversed and rejected payments are included with their status, so the file matches the trail.
The jobs export lists the client, reference, service type, service date, status, assignee, fee or Fee not set, tax, paid, outstanding, and whether it is a monthly retainer. The statement export lists that client’s jobs and payments with a total outstanding line.
Exports and the period totals
Totals in a payments export filtered to a date range match the collected figure on the dashboard for the same range, once you leave out reversed payments, rejected link payments, and opening credits — the dashboard excludes those too.
Outstanding in a jobs export is computed the same way as on screen: the fee plus tax, minus the payments on the job.
Who should get which file
Give your external accountant the Collections Accountant role. They can open the dashboard, the payment register, client statements, and every export, but they cannot record, allocate, approve, change settings, or confirm cash.
For a client who asks for their history, export their statement or print it from the statement page. The statement shows that client only.
Collectors do not need exports. My entries already lists what they recorded today or this week, and an acknowledgment covers anything a client asks for.
A month-end routine
At month end, set Payments to the month and export. Hand the file to your accountant with the dashboard figures for the same range. Then export Jobs with outstanding only, so the list of unpaid work goes into the month-end pack.
If ledger posting is on, the same payments are already in Accounting; the export is a convenient list, not a second source of truth.
Filters that travel with the file
The payments export keeps the date range, payment mode, employee, client, and reference filters you set on screen. The jobs export keeps status, service type, assignee, dates, and the outstanding-only switch.
Set the filters first, check the list on screen, then export, so the file is exactly what you looked at. Clear the filters when you want every payment or every job instead.
Each export can include up to ten thousand rows, which covers a full year of payments for most small and mid-sized services firms.
Metrics to track monthly
- Billed for the date range
- Collected for the date range
- Outstanding, and outstanding older than 90 days
- Collections by payment mode
- Payments not yet reconciled
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Spreadsheets and notebooks vs Biznsbook Collections
Compare running this on spreadsheets with Biznsbook CSV export of payments and related capabilities.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| Rows | ❌ Only the visible page | ✅ Every matching row |
| Filters | ❌ Lost when copied | ✅ Kept in the file |
| Who can export | ❌ Anyone | ✅ People who can see amounts |
| Formula-looking text | ❌ Runs in Excel | ✅ Kept as text |
| Client view | ❌ A screenshot | ✅ A statement export for that client |
| Accountant access | ❌ Shared owner login | ✅ Read-only Collections Accountant role |
The right file for the right person
Exports follow the same rule as the screens: only people who can see amounts get the numbers. The read-only Collections Accountant role exists for exactly this — someone who needs the files but must not record, allocate, or approve anything.
Write this into your weekly owner routine and revisit it when you add collectors or new services.
Frequently asked questions
Does the export include more than one page?
Yes. The CSV includes every matching row for the filters you set, not just the page on screen.
Can a collector export payments?
No. Exports are for people who can see Collections amounts. Collectors see Record a payment and My entries only.
Can my accountant export without being able to change anything?
Yes. Give them the Collections Accountant role: dashboard, payments, statements, and exports, but no recording, allocating, approving, or settings.
What file format is it?
CSV, which opens in Excel and most spreadsheet apps.
