How to Receive Assets from Purchase Orders
Equipment arrives, but the purchase order and the register disagree
A pallet of laptops arrives against an approved order. Someone types the serials into a spreadsheet, someone else marks the order received, and a third person waits for the supplier bill. Two weeks later the order shows one quantity, the register another, and the bill matches neither.
When equipment is treated as ordinary stock, it also lands in the warehouse balance. It shows up in stock counts, can be picked for a sale by mistake and inflates inventory value, even though the company bought it to use.
When it is kept out of stock by hand, the accounts are usually adjusted by journal at month end, and nobody can trace the entry back to the receipt that caused it.

- Mark the order line as an asset. On the purchase order line grid, choose an Asset type. The line GL account fills in from the type default and can still be changed. Items of type Asset can carry a default asset type so new lines pick it up.
- Approve the order as usual. Only approved or partially received orders can be received. Nothing about approval changes for asset lines.
- Open Receive from PO. In the Fixed Assets menu choose Receive from PO. Search by order number, item or vendor and pick the line. The summary shows ordered, received and remaining quantity.
- Enter one serial per unit. Scan or type a serial in each row. A barcode scanner moves to the next row after each scan. Choose the asset type per row if it differs, and add a friendlier name if you like.
- Receive the assets. Biznsbook creates and posts a goods receipt for the line. Each unit becomes an asset with the next tag, status New, the vendor, unit cost after the line discount, order date, warehouse and warranty from the order.
- Check the receipt and the order. The order shows the new received quantity and moves to Partially or Fully Received. Asset lines never touch stock, so no stock ledger entry or batch is created.
- Match the supplier bill. Create the purchase invoice from the receipt as you would for stock. The goods received not invoiced balance clears against the bill.
- Label and hand out. The new assets are pre-selected in the register. Print labels, then check each asset out to the person or department that will use it.
Review results after the first full monthly cycle. Adjust roles, mappings, or approvals where the same exception repeats.

What stops a bad receipt
Asset lines must be a whole number of units, serials must be unique on the receipt and across the company, and the asset type must exist. If no asset account can be found, posting stops with a message rather than booking the value to inventory.
Quality check cannot reject an asset line and a return to vendor cannot return one, because neither has stock to write off. Use disposal with the method Returned to Vendor instead.

What the receipt copies onto each asset
Vendor, unit cost after the line discount and excluding tax, the order date as purchase date, the order warehouse, and a warranty expiry calculated from the product warranty months. The asset also remembers the receipt line and the order line it came from, so you can trace it back from the register.

Frequently asked questions
Does receiving an asset change stock?
No. Asset lines on a goods receipt never enter stock. No stock ledger entry, batch or average cost change is created. Only the accounts and the asset register change.
Can I receive an asset without a serial number?
Yes on the standard goods receipt screen. Units without a serial number are registered as pending details and listed under Needs attention so you can complete them later. The Receive from PO screen asks for one serial per unit.
What if I need to undo a receipt?
Cancel the goods receipt. It removes the assets it created and reverses the accounts, but only while every asset is still New and not checked out. Otherwise dispose the asset with the method Returned to Vendor.
Do I need the Accounting module?
Goods receipts post to the accounts, so the company needs its normal purchasing and accounting set up. Fixed Assets Tracking must be licensed for the asset type column and the receive screen.
