How to Build a Fixed Asset Register

Quick answer Build a fixed asset register in Biznsbook by setting up asset types, then registering every item once — from an approved purchase order, by hand, or by Excel import. Each asset gets a tag, and records its serial, cost, vendor, warranty and location. Check assets out to the people who use them and watch the dashboard for overdue loans, repairs and expiring warranties.

Nobody can say what the company owns or who has it

Most small companies keep equipment in a spreadsheet that someone started years ago. Laptops are listed by model, not by unit. Nobody knows which serial number went to which person, and the sheet stops being updated the first busy month.

When an auditor, an insurer or a new finance lead asks for the list, it takes days to rebuild. Items bought on a card never made it into the sheet, and equipment that left with a former employee is still listed as in the office.

Warranty dates live in email. A laptop fails a month after its warranty ended and the team only finds out when the repair quote arrives.

Why this happens

  • There is no single record per physical item, only rows per model or per purchase.
  • Items bought outside a purchase order are never registered.
  • Nobody records who took an item or when it came back.
  • Serials, costs and warranty dates are kept in separate places.

Biznsbook addresses this through asset register, asset tags, asset dashboard when Fixed Assets Tracking is licensed. Each physical item has one record with its own tag, and every hand-over, move, status change and note stays on that record.

Registers drift the moment an item changes hands without a record. Making Biznsbook the only place where equipment is registered, labelled and handed over keeps the list true for audits, insurance and everyday questions.

Step-by-step: Build a Fixed Asset Register

Built for fixed asset managers, IT coordinators and operations teams who keep track of company equipment in Biznsbook Fixed Assets Tracking.

  1. Enable Fixed Assets Tracking and assign roles. License the module, then give the person who owns the register the Fixed Assets Manager role and day-to-day handlers the Fixed Assets Clerk role. Company Admins already have full access.
  2. Set up asset types. Open Settings, then Asset types. Computer, Vehicle and Furniture & Fixtures are created for you. Add the types you own, such as Machine or POS Terminal, and optionally a default GL account per type.
  3. Choose your tag format. Open Settings, then Tags & loans. Tags are numbered from a prefix and counter, for example FA-00001. Change the prefix if your labels already use another format.
  4. Load what you already own. Use Import register to load a spreadsheet, or Add asset for a few items. Each asset records name, type, serial, condition, manufacturer, model, purchase date and cost, vendor, warranty and location.
  5. Receive new purchases against the order. Use Receive from PO for equipment bought on an approved purchase order. Scan one serial per unit; the vendor, unit cost, order date and warranty come from the order.
  6. Label every item. Select assets in the register and use Print labels. Each label has the tag and a QR code that opens the asset on a phone.
  7. Check assets out to the people who use them. On the asset page, use Check out to assign an asset to an employee, login user or department. Every hand-over is kept in the custody history.
  8. Review the dashboard. The dashboard shows assets in use and available, overdue loans, assets in repair, warranties expiring soon and the purchase value of active assets. Each tile opens the filtered register.

Review results after the first full monthly cycle. Adjust roles, mappings, or approvals where the same exception repeats.

Common mistakes to avoid

  • Mistake 1: There is no single record per physical item, only rows per model or per purchase. Repeating this each month usually shows up first in overdue loans, assets nobody can find, or an audit list that has to be rebuilt.
  • Mistake 2: Items bought outside a purchase order are never registered. Repeating this each month usually shows up first in overdue loans, assets nobody can find, or an audit list that has to be rebuilt.
  • Mistake 3: Nobody records who took an item or when it came back. Repeating this each month usually shows up first in overdue loans, assets nobody can find, or an audit list that has to be rebuilt.
  • Mistake 4: Serials, costs and warranty dates are kept in separate places. Repeating this each month usually shows up first in overdue loans, assets nobody can find, or an audit list that has to be rebuilt.

Note each recurring gap in the monthly review; each should map to a step in this guide.

Best practices that hold up as you scale

  • Enable Fixed Assets Tracking and assign roles — License the module, then give the person who owns the register the Fixed Assets Manager role and day-to-day handlers the Fixed Assets Clerk role.
  • Set up asset types — Open Settings, then Asset types.
  • Choose your tag format — Open Settings, then Tags & loans.
  • Load what you already own — Use Import register to load a spreadsheet, or Add asset for a few items.
  • Receive new purchases against the order — Use Receive from PO for equipment bought on an approved purchase order.

Teams that register every item once, label it the same day, and record every hand-over as a check-out or check-in can answer who has what at any moment.

How Biznsbook supports this workflow

asset register is part of Biznsbook Fixed Assets Tracking. Every asset has one record with its tag, serial, cost, vendor, warranty, location and custodian, and every status change, hand-over, move and note is kept in its timeline.

asset tags is part of Biznsbook Fixed Assets Tracking. Every asset has one record with its tag, serial, cost, vendor, warranty, location and custodian, and every status change, hand-over, move and note is kept in its timeline.

asset dashboard is part of Biznsbook Fixed Assets Tracking. Every asset has one record with its tag, serial, cost, vendor, warranty, location and custodian, and every status change, hand-over, move and note is kept in its timeline.

Viewing, managing, receiving, disposing and configuring are separate permissions. A Fixed Assets Clerk can register and hand out equipment but cannot dispose of it or change settings.

Suggested implementation timeline

  1. Week 1: Enable Fixed Assets Tracking, assign the Fixed Assets Manager and Clerk roles, and review asset types and the tag format.
  2. Week 2: Load existing equipment and start using asset register for everything new.
  3. Week 3: Print and stick labels, then check every asset out to the person or department that uses it.
  4. Week 4: Review the dashboard: chase overdue loans, clear Break / Fix items, and fill in missing costs and warranties.
  5. Ongoing: Monthly review using what the register records for each asset and the dashboard tiles.

Three ways into the register

Receive from PO is for equipment on an approved or partially received purchase order. Each scanned serial becomes an asset with status New. The units count against the order line, so the same line cannot be received twice.

Add asset is for anything already owned or bought without an order. The asset starts as In Stock, ready to issue, or New if it is not ready yet. Import register loads a spreadsheet at go-live: the template lists your asset types, warehouses and departments, and every row is checked before anything is saved.

Statuses you will see

New and In Stock mean available. Deployed means checked out for ongoing use, and Loaned means out temporarily with a return date. Break / Fix means out of service for repair, which is where an asset lands when it is checked in damaged.

Disposed is final. A disposed asset cannot be checked out, moved, edited or change status again, but its full history stays on the record.

Metrics to track monthly

  • Assets without a label or without a custodian
  • Loans past their expected return date
  • Assets in Break / Fix for more than a month
  • Warranties expiring inside the alert window
  • Assets registered without a purchase cost

Start with three metrics; trend direction matters more than a single point-in-time snapshot.

Spreadsheet register vs Biznsbook asset tracking

Compare a typical spreadsheet asset list with Biznsbook asset register and related capabilities.

CapabilityManual / SpreadsheetBiznsbook
One record per item❌ Rows per model or purchase✅ One asset per physical unit with its own tag
Who has it❌ A name typed in a cell✅ Custodian with a full custody history
Where it is❌ Office name, if anyone remembers✅ Warehouse and storage location, with Off site flagged
Warranty❌ An email somewhere✅ Warranty expiry on the asset, listed on the dashboard
Items bought without a PO❌ Often missing✅ Add asset or Excel import
Audit list❌ Rebuilt by hand✅ Register export with the current filters

What the register records for each asset

Tag, optional serial, name, type, condition, manufacturer and model, purchase date and cost, vendor, linked product, GL account, warranty expiry and provider, warehouse and storage location, the current custodian, and how the asset was acquired. Status changes, moves, notes and custody periods are kept in the asset timeline.

Write this into your asset handling procedure and revisit it when you add sites, teams or asset types.

Frequently asked questions

Does every asset need a serial number?

No. The asset tag is the key. Serial numbers are optional, and must be unique when entered.

Can I keep the tags already stuck on my equipment?

Yes. Type the existing tag when adding or importing the asset, and set the next tag number above the tags you already use.

Is the purchase value on the dashboard a book value?

No. It is the recorded purchase cost of active assets. Finance fixed assets are a separate register in Biznsbook.

Who can change the register?

Fixed Assets Managers can do everything, including disposal and settings. Fixed Assets Clerks can add, edit, receive and check assets out and in, but cannot dispose or change settings.

How this differs by industry

Retail

A retailer can register every POS terminal and back-office laptop per store, with the store as the warehouse, so off-site devices stand out.

Wholesale & distribution

A distributor can keep forklifts, scanners and vehicles in one register with warranty dates, and see which are in repair from the dashboard.

Manufacturing

A plant can register machines and tools, link attachments to the machine they belong with, and check tools out to the operators who use them.
