- Keep employees in HRMS. Custodians are HRMS employees. An employee does not need a login to hold assets. If they have a linked login, it is recorded with the assignment too.
- Check the asset out to the employee. Open the asset, use Check out, choose Assign for ongoing use, and pick the employee. Their department is filled in unless you choose another.
- Add where they use it. Optionally add a position or desk, and move the asset to the warehouse and storage location where it will be used.
- Assign to a department when nobody owns it personally. Shared equipment such as a meeting-room screen can be checked out to a department without naming a person.
- See everything one person holds. In the asset register, filter Held by to the employee. Export the filtered list to Excel when you need it on paper.
- Take equipment back. When the employee returns an item, check it in with its condition. The custody history keeps the period they held it.

Viewing, managing, receiving, disposing and configuring are separate permissions. A Fixed Assets Clerk can register and hand out equipment but cannot dispose of it or change settings.
Suggested implementation timeline
- Week 1: Enable Fixed Assets Tracking, assign the Fixed Assets Manager and Clerk roles, and review asset types and the tag format.
- Week 2: Load existing equipment and start using employee custodians for everything new.
- Week 3: Print and stick labels, then check every asset out to the person or department that uses it.
- Week 4: Review the dashboard: chase overdue loans, clear Break / Fix items, and fill in missing costs and warranties.
- Ongoing: Monthly review using employees, logins and departments and the dashboard tiles.
Seeing assignments across the company
The dashboard breaks active assets down by department, and each bar opens the register filtered to that department. The Held by filter does the same for one employee. Both lists can be exported to Excel with the current filters, including the custodian, department and loan due date.
Assets in use are counted on the dashboard separately from assets that are available to issue, so it is clear how much equipment is sitting unused in stock.
Roles for the people who hand out equipment
A Fixed Assets Clerk can register assets, check them out and in, receive purchases and print labels. Disposal and settings are left to the Fixed Assets Manager, so day-to-day handlers cannot retire equipment or change tag and loan settings.
When someone moves team or leaves
Reassigning an asset closes the current custody period and opens a new one, so a move between teams is recorded rather than overwritten.
Before someone leaves, filter the register by Held by to list what they hold, and check each item in as it comes back with its condition.
Loans for short-term use
For temporary use, check the asset out as a Loan instead of an assignment. The loan has an expected return date, and it is flagged as overdue in the register and on the dashboard once that date passes.
The return date defaults to the loan period set in Tags and loans, which starts at 14 days, and can be changed for each loan. When the employee brings the item back, check it in and record its condition, so the next person who receives it knows what state it was in.

Employees, logins and departments
Picking an employee fills in their linked login and their department. Picking a login user finds their employee record when one is linked. You can also set the department yourself, or assign to a department with no person at all. The same rules apply when checking out many assets at once from the register.
