How to Record a Supplier Credit Note Without a Return
Why supplier credits without a return are hard to record
Suppliers give credit for reasons that have nothing to do with returned goods: they overcharged on the last bill, a volume rebate is due, or they agreed a settlement discount. There is no return to raise, but the credit still has to reach the books.
Done by hand, the credit is often netted off the next payment without a record, posted to the wrong account, or forgotten until the supplier statement does not agree. The input tax on the credit is easy to miss.
A supplier credit note records the credit on its own, with the supplier's number and a reason that decides the account. It either reduces an open bill now or waits on the supplier for a later bill.
Why this happens
- No return exists, so there is no obvious document to record the credit on.
- The credit is netted off a payment without a record.
- Price corrections and rebates are posted to the same account.
- Tax on the credit is not reversed.
Biznsbook addresses this through price correction credits, rebates and discounts, reduce an open bill, credit kept for later bills in the Purchase module, on the same orders, receipts, bills and stock records.
Purchasing problems rarely start with one big mistake. They start with a price nobody checked, a bill keyed twice, or goods used before anyone looked at them. Recording each step where it happens removes those gaps.
Step-by-step: Record a Supplier Credit Note Without a Return
Written for buyers, store keepers and accounts payable teams in small and mid-sized businesses. The steps follow Purchase in Biznsbook.
- Start the credit note. Go to Purchasing → Supplier credit notes → New credit note, or choose Supplier credit on an open bill to pick the supplier and bill for you. You need the Create purchases permission.
- Enter the supplier's details. Pick the supplier, the date and the supplier's own credit note number.
- Choose the reason. Price correction is credited to purchase price variance. Discount or rebate is credited to purchase discounts. Other lets you pick the account; receivables and payables control accounts are not allowed.
- Enter the amounts. Enter the Amount (before tax) and any Tax credited. Tax credited reverses that much input tax.
- Decide how to use the credit. Reduce an open bill now, which cannot be more than the bill still owes, or Keep as credit for later bills and use Apply credit note on any open bill of that supplier, in one go or in parts.
- Save and post. Choose Save & post. The credit note gets a number such as VCN-2026-0001.
Review results after the first full monthly cycle. Adjust roles, mappings, or approvals where the same exception repeats.
Inside Biznsbook, each Purchasing screen explains its own steps. This article explains the business process behind those screens.
Common mistakes to avoid
- Mistake 1: No return exists, so there is no obvious document to record the credit on. Repeating this each month usually shows up first in a supplier paid the wrong amount, late, or for goods that never arrived.
- Mistake 2: The credit is netted off a payment without a record. Repeating this each month usually shows up first in a supplier paid the wrong amount, late, or for goods that never arrived.
- Mistake 3: Price corrections and rebates are posted to the same account. Repeating this each month usually shows up first in a supplier paid the wrong amount, late, or for goods that never arrived.
- Mistake 4: Tax on the credit is not reversed. Repeating this each month usually shows up first in a supplier paid the wrong amount, late, or for goods that never arrived.
Each of these shows up later as a supplier balance nobody can explain. Fix it on the order, receipt or bill rather than in a side spreadsheet.
Best practices that hold up as you scale
- Start the credit note — Go to Purchasing → Supplier credit notes → New credit note, or choose Supplier credit on an open bill to pick the supplier and bill for you.
- Enter the supplier's details — Pick the supplier, the date and the supplier's own credit note number.
- Choose the reason — Price correction is credited to purchase price variance.
- Enter the amounts — Enter the Amount (before tax) and any Tax credited.
- Decide how to use the credit — Reduce an open bill now, which cannot be more than the bill still owes, or Keep as credit for later bills and use Apply credit note on any open bill of that supplier, in one go or in parts.
Keep the order, the receipt and the bill linked, so every payment can be traced back to what was ordered and what arrived.
How Biznsbook supports this workflow
price correction credits is part of Biznsbook Purchase. It works on the same purchase orders, goods receipts and supplier bills, so stock, payables and the ledger stay in step.

Access is permission-based: viewing, creating, editing and approving purchases are separate permissions. Purchase orders and goods receipts need the Inventory module; postings to accounts payable need Accounting.
Suggested implementation timeline
- Week 1: Set up price correction credits and give buyers and accounts payable the permissions they need.
- Week 2: Run one supplier end to end in Biznsbook only: order, receipt, bill and payment, with no side spreadsheet.
- Week 3: Review the exceptions with the people involved and adjust the rules where they disagreed.
- Month 2: Roll out to every supplier and retire the old tracking sheet.
- Ongoing: Monthly review using credit notes and payment runs.
Metrics to track monthly
- Open purchase order lines past their delivery date
- Bills waiting in bill matching
- Overdue supplier bills and bills due in the next 7 days
- Purchase price variance by supplier this month
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Spreadsheets and email vs Biznsbook Purchase
Compare a typical spreadsheet-and-email buying process with Biznsbook price correction credits and the related Purchase capabilities.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| Where the credit is recorded | ❌ A note on the next payment | ✅ A numbered supplier credit note |
| Account it goes to | ❌ Chosen each time, often wrong | ✅ Set by the reason: price variance, purchase discounts or a picked account |
| Tax on the credit | ❌ Easy to forget | ✅ Tax credited reverses that much input tax |
| Using the credit | ❌ Netted off by hand | ✅ Reduce an open bill now or keep it for later bills |
| Supplier's reference | ❌ Lost in email | ✅ The supplier's own credit note number on the record |
| Undoing it | ❌ Edit the sheet | ✅ Cancel with a reason; the journal is reversed |
Credit notes and payment runs
You do not need to record early payment discounts by hand when you pay through a payment run. Each discount taken in a run is recorded as a supplier credit note on the bill. To undo one, cancel that credit note with a reason, which reverses its journal and reopens the bill. A credit you keep for later waits on the supplier until you apply it. If you need to cancel it after part has been applied, remove the application first: choose Remove next to it under the bill's payments, then cancel the credit note.
Write the rule into your purchasing procedure so buyers, store keepers and accounts payable follow the same steps, and revisit it each quarter.
Frequently asked questions
When should I use a purchase return instead?
When goods go back to the supplier. A supplier credit note is for credit with nothing returned: a price correction, a volume rebate or a settlement discount.
Can the credit be more than the bill owes?
Not when you reduce an open bill now. Keep it as credit for later bills instead and apply it in parts.
Which account does a price correction go to?
Purchase price variance. A discount or rebate goes to purchase discounts. For Other you pick the account, but not a receivables or payables control account.
How do I use a credit kept for later?
On any open bill of that supplier, choose Apply credit note, in one go or in parts.
How do I cancel a credit note?
Choose Cancel in the list and give a reason. Its journal is reversed and a bill it reduced is open again. A credit kept for later can only be cancelled while none of it is applied; remove the application on the bill first.
Can I start a credit note from the bill?
Yes. Choose Supplier credit on an open bill. It picks the supplier and the bill for you.
How is this different from a purchase return credit?
A purchase return records goods going back to the supplier. Its settlement can reduce the original bill or open a credit that you apply to any open bill of that supplier with Apply credit note. A supplier credit note kept for later uses the same Apply credit note box, but nothing is returned.
How this differs by industry
Retail
A shop records a supplier's credit for an overcharged delivery as a price correction against that bill, so the bill balance and the variance are both right.
Wholesale & distribution
A distributor records a quarterly volume rebate as Discount or rebate and keeps it as credit, then applies it to the supplier's next bills.
Manufacturing
A plant records a supplier's settlement discount on raw materials against the open bill, with the tax credited reversing that share of input tax.
