How to Set Up Supplier Price Lists With Quantity Breaks
Why purchase order prices drift away from what the supplier agreed
Most suppliers quote more than one price. The unit price drops at 100 or 500 units, the quote is valid until a date, and the supplier only sells in cases of 12 or above a minimum order. That detail usually sits in a PDF or an email, and the buyer types a price from memory on each order.
When the price is typed by hand, the order often carries last year's price, the small-quantity price for a large order, or a quantity the supplier will round up anyway. Nobody notices until the bill arrives at a different amount.
A supplier price list keeps those terms on rows per supplier and item. The purchase order reads the row that matches the quantity, the order date and the currency, says where the price came from, and warns when the quantity is below the minimum or not a whole pack.
Why this happens
- Quoted price breaks live in emails, so each order is priced by hand.
- An expired quote is still used because it has no end date anywhere.
- Orders go out below the supplier's minimum or in part packs.
- A larger quantity would reach a cheaper price, and nobody sees it.
Biznsbook addresses this through price breaks by quantity, currency and validity dates, minimum order and pack size, automatic order line prices in the Purchase module, on the same orders, receipts, bills and stock records.
Purchasing problems rarely start with one big mistake. They start with a price nobody checked, a bill keyed twice, or goods used before anyone looked at them. Recording each step where it happens removes those gaps.
Step-by-step: Set Up Supplier Price Lists With Quantity Breaks
Written for buyers, store keepers and accounts payable teams in small and mid-sized businesses. The steps follow Purchase in Biznsbook.
- Open the price list. Go to Purchasing → Supplier price lists. You need the Edit purchases permission to change prices.
- Add the first price. Under Add a price, pick the supplier and the item. Set From qty to 0 for a price that applies to any quantity, and enter the Unit price per purchase unit.
- Add the optional terms. Set a currency if the supplier quotes in one, Min. order for the smallest quantity they accept, Pack of when they sell in multiples, Valid from and Valid to for the quote period, and a note if useful.
- Add rows for each price break. Add more rows for the same supplier and item with higher From qty values, for example 10.00 from 0 and 9.50 from 100. A supplier and item cannot have two active prices for the same quantity, currency and overlapping dates.
- Raise a purchase order. Pick the supplier and add the item. The unit price fills in from the matching break, and the hint under the line says where it came from, for example Price: Supplier price list (from 50).
- Change the quantity and read the warnings. While you have not typed the price yourself, changing the quantity moves it to the matching break. Ordering below the minimum or not a whole pack shows a warning, and a hint tells you when a larger quantity reaches a cheaper break.
- Keep the list current. Edit a row in the list and save it, untick Active to stop using it, or remove it.
Review results after the first full monthly cycle. Adjust roles, mappings, or approvals where the same exception repeats.
Inside Biznsbook, each Purchasing screen explains its own steps. This article explains the business process behind those screens.
Common mistakes to avoid
- Mistake 1: Quoted price breaks live in emails, so each order is priced by hand. Repeating this each month usually shows up first in a supplier paid the wrong amount, late, or for goods that never arrived.
- Mistake 2: An expired quote is still used because it has no end date anywhere. Repeating this each month usually shows up first in a supplier paid the wrong amount, late, or for goods that never arrived.
- Mistake 3: Orders go out below the supplier's minimum or in part packs. Repeating this each month usually shows up first in a supplier paid the wrong amount, late, or for goods that never arrived.
- Mistake 4: A larger quantity would reach a cheaper price, and nobody sees it. Repeating this each month usually shows up first in a supplier paid the wrong amount, late, or for goods that never arrived.
Each of these shows up later as a supplier balance nobody can explain. Fix it on the order, receipt or bill rather than in a side spreadsheet.
Best practices that hold up as you scale
- Open the price list — Go to Purchasing → Supplier price lists.
- Add the first price — Under Add a price, pick the supplier and the item.
- Add the optional terms — Set a currency if the supplier quotes in one, Min.
- Add rows for each price break — Add more rows for the same supplier and item with higher From qty values, for example 10.
- Raise a purchase order — Pick the supplier and add the item.
Keep the order, the receipt and the bill linked, so every payment can be traced back to what was ordered and what arrived.
How Biznsbook supports this workflow
price breaks by quantity is part of Biznsbook Purchase. It works on the same purchase orders, goods receipts and supplier bills, so stock, payables and the ledger stay in step.

Access is permission-based: viewing, creating, editing and approving purchases are separate permissions. Purchase orders and goods receipts need the Inventory module; postings to accounts payable need Accounting.
Suggested implementation timeline
- Week 1: Set up price breaks by quantity and give buyers and accounts payable the permissions they need.
- Week 2: Run one supplier end to end in Biznsbook only: order, receipt, bill and payment, with no side spreadsheet.
- Week 3: Review the exceptions with the people involved and adjust the rules where they disagreed.
- Month 2: Roll out to every supplier and retire the old tracking sheet.
- Ongoing: Monthly review using what the price list does not do.
Metrics to track monthly
- Open purchase order lines past their delivery date
- Bills waiting in bill matching
- Overdue supplier bills and bills due in the next 7 days
- Purchase price variance by supplier this month
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Spreadsheets and email vs Biznsbook Purchase
Compare a typical spreadsheet-and-email buying process with Biznsbook price breaks by quantity and the related Purchase capabilities.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| Where the quote lives | ❌ A PDF or email from the supplier | ✅ Rows per supplier and item |
| Price on the order line | ❌ Typed by the buyer | ✅ Filled from the break for the quantity ordered |
| Expired quotes | ❌ Still used until someone notices | ✅ Only rows valid on the order date apply |
| Minimum order and pack size | ❌ Checked by the supplier after the order | ✅ A warning on the order line |
| Cheaper break at a larger quantity | ❌ Not visible | ✅ A hint on the order line |
| Where the price came from | ❌ Unknown | ✅ Shown under the line |
What the price list does not do
The price list fills in purchase order lines; it does not change bills that are already posted. To see where a supplier billed more than the goods were received at, use Purchasing → Reports → Price variance. A Procurement contract rate or price agreement, when one is active, takes priority over the price list.
Write the rule into your purchasing procedure so buyers, store keepers and accounts payable follow the same steps, and revisit it each quarter.
Frequently asked questions
Which price wins if there is also a contract?
An active Procurement contract rate comes first, then an active Procurement price agreement, then the supplier price list, then the last order to that supplier for the item. Otherwise the last purchase order price or the item's cost is used.
Does the price list replace a price I typed?
No. A price you type is never replaced. Only a price that was filled in for you moves when you change the quantity.
How does currency work?
A row applies when its currency matches the order's currency, or when the row has no currency. Each supplier can also have a Purchase currency in its purchasing defaults, so a new order to that supplier starts in it.
Is the unit price per base unit or per purchase unit?
Per purchase unit.
Does a minimum order block the order?
No. Ordering less than the minimum, or not a whole pack, shows a warning. Only a budget rule set to block can stop a submit.
Where else are the minimum and pack size used?
Buy-to-order purchase orders raised from a confirmed sales order are raised to the supplier's minimum order and pack size from its price list.
How this differs by industry
Retail
A store buyer keeps the case price and the pallet price for each supplier, so an order for a full pallet picks up the lower price without anyone looking it up.
Wholesale & distribution
A distributor stores each supplier's dated quote with its minimum order, so orders use the price that is valid on the order date and flag a quantity below the minimum.
Manufacturing
A purchaser keeps component prices by quantity and pack size, so a run-sized order is priced at the right break and rounded to whole packs before it goes out.
