How to Approve Expense Claims from Email Safely
Why approvals stall in the inbox
Most expense claims wait longer for approval than for anything else. The approver gets an email, means to deal with it later, and later means signing in, finding the claim and clicking approve. Managers who travel or work from their phones put it off the longest, and employees wait for their money.
The obvious shortcut — approve straight from the email — creates new risks if it is done carelessly. A link that approves on click can be triggered by an email security scanner opening it. A link that never expires can be used weeks later after the claim has changed. A forwarded email can let someone else approve in the manager's name.
A safe email approval keeps every rule the signed-in screen enforces. The link is tied to one person and one approval step, it works once, it expires, it only shows the claim until the approver confirms, and the system checks again at that moment that the approver is still allowed to decide.
Why this happens
- Approvers must sign in and search for the claim to act on an email.
- One-click links act as soon as a mail scanner opens them.
- Old links still work after the claim or the approver has changed.
- Approvals made outside the system leave no record of who decided.
Biznsbook addresses this through approve from email, single-use approval links, a confirmation page, link expiry settings in the Expense Management module, which posts to the same general ledger as the rest of the ERP when Accounting is licensed.
Expense problems rarely come from one big mistake. They come from many small claims handled slightly differently each time. A single record per claim, with every decision and payment attached to it, removes that variation.
Step-by-step: Approve Expense Claims from Email Safely
Written for finance teams and office managers running staff spend — employees file claims, approvers sign them off, and finance pays and posts them, all inside the Biznsbook Expense Management module.
- Switch on Approve from email. In Expense Settings, tick Approve from email and set how many hours links stay valid, from 1 to 336. The default is 72 hours. It is off until you turn it on.
- Keep your approval workflow. Stages, amount limits, delegation and escalation stay exactly as they are. Email links follow the same workflow.
- Approvers get Approve and Reject buttons. When a claim reaches an approver's stage, their approval email includes Approve and Reject buttons alongside Open in Biznsbook.
- The link opens a confirmation page. Opening a link only shows the claim: amount, date, claimant, lines, receipts count and any policy flags. Nothing is decided yet, so mail scanners cannot approve anything.
- The approver confirms. The approver picks Approve or Reject, adds a comment — required to reject — and confirms. The comment notes that it came from the approval email.
- Everything is checked again. Before the decision counts, Biznsbook checks that the setting is still on, the step is still waiting, the approver is still active and allowed to approve it, and the approver is not the claimant.
- Links die after use. Each link works once. When the step is decided, any other links for that step stop working too, and expired links send the approver to sign in instead.
Review results after the first full monthly cycle. Adjust roles, mappings, or approvals where the same exception repeats.
Inside Biznsbook, the Expense module has its own step-by-step Guide (Expenses → Guide) covering claims, mileage, receipt scanning, approvals, advances, budgets and payments, and employees have Self Service → My Expenses. This article focuses on the business process behind those screens.
Common mistakes to avoid
- Mistake 1: Approvers must sign in and search for the claim to act on an email. Repeating this each month usually shows up first in an expense report finance cannot reconcile to the ledger.
- Mistake 2: One-click links act as soon as a mail scanner opens them. Repeating this each month usually shows up first in an expense report finance cannot reconcile to the ledger.
- Mistake 3: Old links still work after the claim or the approver has changed. Repeating this each month usually shows up first in an expense report finance cannot reconcile to the ledger.
- Mistake 4: Approvals made outside the system leave no record of who decided. Repeating this each month usually shows up first in an expense report finance cannot reconcile to the ledger.
Each of these shows up as a difference between the expense reports and the ledger. Fix the process on the claim record rather than with manual journals.
Best practices that hold up as you scale
- Switch on Approve from email — In Expense Settings, tick Approve from email and set how many hours links stay valid, from 1 to 336.
- Keep your approval workflow — Stages, amount limits, delegation and escalation stay exactly as they are.
- Approvers get Approve and Reject buttons — When a claim reaches an approver's stage, their approval email includes Approve and Reject buttons alongside Open in Biznsbook.
- The link opens a confirmation page — Opening a link only shows the claim: amount, date, claimant, lines, receipts count and any policy flags.
- The approver confirms — The approver picks Approve or Reject, adds a comment — required to reject — and confirms.
Keep the process inside the claim record. Every approval, payment and settlement recorded on the claim is one less manual journal to explain at month-end.
How Biznsbook supports this workflow
approve from email is part of Biznsbook Expense Management and follows the claim through the same record — submission, approval, payment and posting — rather than living in a separate spreadsheet. With Accounting licensed, each journal is posted as a balanced double entry under its own reference, so a payout or reversal can never be mistaken for the original expense.

Access is permission-based: Expense Manager holds approve, categories, budgets, settings and reports; Expense Approver can approve and view reports. Every company user can still file their own claims and advance requests, and company admins see everything.
Suggested implementation timeline
- Week 1: Set up categories with GL accounts and the Expense Settings default accounts, then configure approve from email.
- Week 2: Pilot with one team: file real claims, approve them and record payments in Biznsbook only.
- Week 3: Check the postings: approved claims, employee payable and advances should match the expense reports.
- Month 2: Roll out to all staff, assign Expense Manager and Expense Approver roles, and retire the spreadsheet.
- Ongoing: Monthly review using choosing how long links last.
Metrics to track monthly
- Approved claims waiting for payment, and their total
- Average days from submission to final approval
- Outstanding employee advances past their expected settlement date
- Spend against budget by category for the month
Start with three metrics; trend direction matters more than a single point-in-time snapshot.
Spreadsheets and email vs Biznsbook Expense Management
Compare a typical email-and-spreadsheet expense process with Biznsbook approve from email and the related Expense capabilities.
| Capability | Manual / Spreadsheet | Biznsbook |
|---|---|---|
| Acting on an approval email | ❌ Sign in and search for the claim | ✅ Approve or Reject from the email, then confirm |
| Mail scanners opening links | ❌ Can trigger a one-click approval | ✅ Opening the link only shows the claim |
| Who the link works for | ❌ Anyone who has the email | ✅ One approver and one approval step |
| Old links | ❌ Work indefinitely | ✅ Expire after the hours you set, and work once |
| Rules at decision time | ❌ Not checked | ✅ Setting, step, approver and self-approval checked again |
| Record of the decision | ❌ In an email thread | ✅ On the claim, marked as decided from email |
Choosing how long links last
Shorter links are safer and longer links are more convenient. Match the expiry to how quickly your approvers usually respond: 24 to 72 hours suits most teams. When a link expires the approver can still sign in and approve as usual, and if you switch the setting off, links already sent stop working straight away.
Write the rule into your expense policy so employees, approvers and finance follow the same steps, and revisit it each quarter.
Frequently asked questions
Is approving from email switched on by default?
No. A settings manager turns it on in Expense Settings and chooses how long links stay valid, between 1 and 336 hours. The default is 72 hours.
Does clicking Approve in the email approve the claim straight away?
No. The link opens a page showing the claim, and the approver confirms the decision there. This stops email scanners that open links from approving anything.
Can someone else use a forwarded approval email?
Each link acts only as the approver it was sent to, for one approval step, and only once. Approvers should still not forward these emails, and the email says so.
What happens if the claim was already decided?
The link no longer works. The page explains that the step has already been decided, the claim is no longer waiting, or the link has expired.
Do email approvals follow delegation and self-approval rules?
Yes. At the moment of decision Biznsbook checks that the approver can still approve that step, including delegation, and that they are not approving their own claim.
Is a comment needed?
Approvals can have a comment; rejections must have one. The comment is saved on the claim and marked as coming from the approval email.
How this differs by industry
Retail
Regional managers away from the office approve store staff claims from their phone between visits, without losing the approval limits set for their stage.
Wholesale & distribution
Sales directors on the road approve their team's travel claims from email the same day, so reimbursements are not held up by a week of travel.
Manufacturing
Plant managers approve urgent maintenance purchases from email while on the shop floor, with the claim's lines and policy flags on the confirmation page.
